Part-Time to Full-Time Virtual Assistant Bookkeeper

JOB DESCRIPTION

Dynamic, fast paced and fast-growing company seeking qualified Bookkeeping Assistant to provide excellent customer service to our clients, contractors, and team members. We are looking for someone who is QBO proficient, very tech savvy, and will add value to our growing team.

  • The ideal candidate should have general accounting background and preferred 2-5 years of experience, including job-costing experience.
  • Will assist Accounting Manager in maintaining all financial transactions for multiple business units by performing the following tasks:
  • Prepare and record day-to-day transactions of a business unit in books and ledgers.
  • Process, prepare and record invoices and vendor bills.
  • Assist and support Accounting Manager in preparing and maintaining accounts receivable and accounts payable records.
  • Verify, ascertain, and determine the correctness of financial data.
  • Assist and support inventory controller in preparing and maintaining inventory records.
  • Track, record and maintain expenditure records with details.
  • Assist and support internal and external audit teams.
  • Special projects as assigned.

Skills/Qualifications:

  • Proficient in QuickBooks Online
  • Proficient in Excel and/or Google Sheets
  • Detail oriented, organized and committed to timely delivery of monthly accounting reporting, as well as recurring weekly functions.
  • Deadline adherence and proactive communication are critical to success in this role.
  • Experience in producing, reviewing, and analyzing financial reports, month end accruals, and supporting documentation.
  • Proficient in Google Suite
  • Positive and friendly attitude
  • Self-starter with motivation to excel and grow personally and professionally.
  • Ability to identify problems and offer suggestions for solutions.
  • Embraces technology and enjoys using it for efficiency.
  • Must be OK with Video Communication and demonstrate professional demeanor (this is a remote job)

Tasks include, but are not limited to:

  • Entering transactions into QBO
  • Entering transactions into Bill.com
  • Recording cost of goods sold
  • Using third party integration software to feed data into QBO and reconcile accordingly.
  • Recording adjusting journal entries.
  • Updating supporting schedules
  • Bank account and balance sheet account reconciliations to monthly statements/schedules
  • Running reports and self-reviewing work for errors
  • Customizing and delivering financial reports based on client needs.
  • Keeping tasks updated and meeting deadlines in project management software.
  • Assistance with documenting and updating firm processes as needed.
  • Payroll processing
  • Preparing annual 1099s & Supporting 1099 Audits
  • Assistance with onboarding new contractors
  • Communication with clients and team via phone, email or video as needed.

Time Requirement and Benefits:

  • Minimum 20 hours per week to start. Potential to move to full time based on performance and skillset.
  • Hourly rate will depend on experience and skill level.

Schedule:

  • Monday to Friday – Flexible but must be available on demand as needed and special projects and be able to support weekly and monthly tasks with specific turnaround times, consistent each week.

  • Associate (Preferred)

Experience:

  • Bookkeeping experience – 2+ Years Required
  • QBO Experience Required
  • Job Cost Experience Preferred
  • Intermediate Excel Skills Required
  • Google Suite Proficiency Required
  • Remote Work Experience Required
  • Rent Manager Experience A Plus

  • Applicant must be able to demonstrate the ability to perform all tasks associated with the position remotely in a professional and effective manner. Applicant must be physically located in the continental United States and have a private office area with ability to maintain quiet background, provide documentation of adequate internet service and speed test confirming adequate bandwidth to support effective and uninterrupted communications.
