JOB DUTIES
Provide administrative and operational support for the Carl D. Perkins Career and Technical Education Act (CTE) grant across multiple academic programs by assisting with procurement, documentation, and recordkeeping in alignment with grant requirements.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist with processing Perkins’s grant requisitions in the Ellucian Colleague system
  • Coordinate and implement unified compliance procedures and practices for all academic departments receiving Perkins for Federal Dollars.
  • Support coordination of approved purchases in collaboration with the Grants Office
  • Communicate with faculty, staff, and vendors to facilitate order placement and resolve routine issues
  • Track orders and confirm delivery of goods/services with appropriate departments
  • Collect and submit invoices to Accounts Payable, ensuring required documentation is included
  • Maintain organized and accurate records to support grant compliance and audit readiness
  • Assist with Perkins inventory tracking as needed
  • Perform other related duties as assigned

WORKING CONDITIONS

  • This is a part-time position, expected to work up to 24 hours per week.
  • This position is contingent upon grant funds.
  • Work schedule may vary depending on program needs.
  • Please note that assigned tasks and responsibilities span both campuses for all MCCC positions.

ADA AND OTHER REQUIREMENTS 

  • Positions in this class typically require the ability to use a key board, hearing, seeing and repetitive motions.
  • Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

 

REQUIRED QUALIFICATIONS, KNOWLEDGE, SKILLS & ABILITIES

KNOWLEDGE, SKILLS & ABILITIES

  • Strong attention to detail with a focus on accuracy and compliance
  • Effective written and verbal communication skills
  • Strong organizational and time management skills with the ability to manage multiple priorities
  • Ability to collaborate effectively with cross-functional teams, including faculty, staff, and external vendors
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and ability to learn institutional systems (e.g., Ellucian Colleague)
  • Strong customer service orientation with a proactive and solutions-focused approach
  • Ability to work independently and as part of a team in a fast-paced environment
  • Persistence and professionalism in follow-up with diverse stakeholders.


REQUIRED QUALIFICATIONS

  • Associate’s degree or equivalent combination of education and administrative experience.
  • A minimum of two (2) years of relevant work experience.
  • Exceptional attention to detail with proven ability to maintain accurate records for compliance and audit purposes.
  • Strong organizational and time-management skills, with the ability to manage multiple transactions at various stages.
  • Proficiency in M.S. Office Suite (Excel, Word, PowerPoint etc.) and ability to learn and effectively utilize new systems and technology.

 

PREFERRED QUALIFICATIONS, KNOWLEDGE, SKILLS & ABILITIES

 

  • Bachelor's degree from an accredited institution in a related field
  • Demonstrated experience in purchasing, grants administration, accounting support, or higher-education administration
  • Experience with federal or state grant management, particularly Perkins or other CTE funding
  •  Mastery of M.S. Word suite (excel, word, PowerPoint etc.) and ability to learn and apply the use of technology
