Job Description:

Position Summary

The Graduate School of Education at the University at Buffalo is seeking a Program Coordinator to support the center for Outreach and Community Engagement. The Program Coordinator for GSE's Outreach and Engagement will oversee the daily operations, training, supervision and quality assurance of our Brainy Bulls Tutoring Program. The Program Coordinator serves as a leader, problem-solver, and support resource for the tutor mentor team.

Key responsibilities include:

  • Manage day-to-day operations of the Brainy Bulls virtual tutoring program, ensuring all sessions run smoothly and efficiently
  • Oversee and maintain virtual program systems and platforms to support engagement, accessibility, and academic support
  • Monitor live sessions and troubleshoot technical or operational issues in real time
  • Serve as the primary supervisor and point of contact for undergraduate tutor mentors
  • Provide ongoing guidance, coaching, and support to work study eligible students
  • Design and deliver onboarding training and ongoing professional development for tutor mentors
  • Manage communication with students and parents or guardians through the program Outlook account
  • Monitor and respond to inquiries related to scheduling, program access, and participation (related to program participants, point of contact for tutoring sessions and other tutoring programs)
  • Enforce program policies related to tutor communication and serve as intermediary between external users and tutors
  • Conduct ongoing quality assurance through review of session data and participation records
  • Monitor program activity during the October through April service period to ensure safety and compliance
  • Analyze program data post cycle to identify trends, inform improvements, and support reporting needs
  • Collaborate with the Assistant Dean to identify internal partnerships within GSE and the University at Buffalo
  • Support presentations, planning efforts, and outreach to faculty and staff stakeholders
  • Contribute to program growth initiatives, including evaluation and research related activities

May include occasional evenings or weekends during peak periods.

Minimum Qualifications

  • Bachelor's degree required; Master's degree preferred (Education, Counseling, Student Affairs, or related field).
  • Experience in tutoring, teaching, mentoring, or student support roles.
  • Prior experience supervising student employees or leading teams.
  • Strong communication, organizational, and problem-solving skills.
  • Ability to work both independently and collaboratively in a hybrid environment.
  • Proficiency with virtual platforms (Zoom, Teams, Google Suite, etc.).

Preferred Qualifications

  • Experience working in higher education or academic support programs.
  • Knowledge of virtual learning tools and online student engagement strategies.
  • Experience with data tracking, reporting, or program assessment.
  • Ability to work with diverse student populations and provide culturally responsive support.

Physical Demands

May include occasional evenings or weekends during peak periods.

Hybrid role with both remote and in-person responsibilities.
