Description
We are seeking a highly organized, proactive, and detail-oriented Production Coordinator to support both on-set production and off-set content operations. This role is essential to ensuring seamless execution across the full production lifecycle—from pre-production planning through shoot execution and post-production coordination.
As a central operational partner, you will work closely with and report to the Video Director, collaborating cross-functionally with creative, production, and post-production teams. You will act as the connective tissue that keeps projects on track, resources aligned, and teams moving efficiently.
This is an ideal role for someone who thrives in fast-paced environments, enjoys solving problems in real time, and takes pride in bringing structure and clarity to creative workflows.
Key Responsibilities:
On-Set Production Execution
- Drive the overall pace and flow of shoots, ensuring timelines are adhered to and production stays on schedule
- Serve as a key point of coordination on set, helping to troubleshoot issues and maintain momentum
- Prepare and format scripts for teleprompter use, ensuring accuracy and readability
- Actively support live shoot direction, including script marking, tracking changes, and communicating updates to relevant stakeholders
- Oversee wardrobe organization and readiness, ensuring talent is prepared and continuity is maintained
- Source, organize, and manage all props and on-set materials, ensuring everything is available and properly staged
- Coordinate on-set catering and hospitality, including ordering, setup, and maintaining stocked fridges, snacks, and beverages
- Maintain a professional, organized, and efficient set environment that enables creative teams to perform at their best
Pre-Production & Content Operations
- Manage and monitor automated workflows (e.g., Slack-based processes) to track video drafts, graphics, and production deliverables
- Review scripts and actively participate in readthroughs, providing operational and logistical input
- Prepare and format scripts for upcoming shoots, ensuring consistency and readiness across productions
- Plan and coordinate Hair & Makeup (H/MU) logistics, schedules, and talent needs
- Source, order, and organize props and materials in advance of shoots
- Coordinate catering logistics for upcoming shoots and team needs
- Support project kickoffs (KO) and attend creative kickoffs (CKO) to align on timelines, requirements, and deliverables
- Partner with cross-functional teams to ensure clear communication, alignment, and execution across all phases of production
Post-Shoot & Operational Support
- Assist in wrapping shoots efficiently, ensuring assets, props, and materials are properly accounted for
- Help facilitate smooth handoffs to post-production teams, ensuring all necessary materials and updates are communicated
- Track updates, feedback, and revisions to ensure continuity between production and post-production workflows
- Continuously identify opportunities to improve processes, optimize workflows, and increase team efficiency
Qualifications:
- Strong organizational skills with the ability to manage multiple projects simultaneously
- Proven ability to work effectively in fast-paced, deadline-driven environments
- Excellent communication and interpersonal skills, with a collaborative mindset
- High attention to detail and a proactive, problem-solving approach
- Experience in production, content creation, media, or a related field preferred, but not required.
- Comfortable balancing creative collaboration with operational execution
- Ability to anticipate needs, adapt quickly, and stay calm under pressure
- Ability to travel frequently for support at off-site shoots.
