Post Award Grant Specialist

Location: Iowa City United States

Job Description:

This Post Award Grant Specialist is located in the Grants and Research Services Center (GRSC) and works closely with the entire GRSC team to support College of Education faculty and staff in grant submissions, from pre award, post award and close of grant. The primary responsibility of this position is to coordinate all aspects of post grant awards working with multiple principal Investigators (PIs) and grantor agencies. The GRSC provides a team oriented, customer service approach to assist faculty and staff be successful in grant submission and grant management. All members of the team are responsible for creating a welcoming environment and contributing toward a continuous improvement model.

Work Modality: This position may be eligible for hybrid work within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually and must comply with the remote work program and related policies and employee travel policy when working at a remote location.

Specific Job Duties and Tasks

  • Responsible for post-award management with a high degree of complexity, including various sub agreements from both federal and non-federal funding sources, ensuring compliance with federal and University cost principles.
  • Oversee awarded budgets for grant, contract, and sub-award proposals, renewals, and periodic reports in accordance with federal, UI, and private foundations policies/deadlines.
  • Coordinate information between GRSC staff, PI's, Sponsoring Agencies, the Division of Sponsored Programs, and Grant Accounting.
  • Work with faculty submitting a grant proposal to prepare budget narrative.
  • Be familiar with and able to draft required ancillary materials for grants submission (i.e., budget narratives, cv/biosketches, current and pending documents, GEPA statements etc).
  • Interact with departmental administrators and principal investigators from other departments; interact with Grant Accounting, Division of Sponsored Programs, Accounts Payable, and Program Officers and Grant Management Specialists regarding inquiries about contracts and grants. Investigate and resolve unusual circumstances, revise procedures as needed for efficient grant/contract processing and award operations.
  • Provide necessary training and support based on new and/or changing guidelines.
  • Review requisitions for subcontract awards on grants, prepare required documents; monitor subcontract purchase orders to ensure sub‐awardee institutions invoicing and payments are prompt.
  • Respond to questions from PI or departmental administrators regarding any aspect of proposed grant expenditures
  • Meet with PI/ departmental administrators when needed.
  • Communicate with University of Iowa units to assure compliance, adherence to policies and status tracking, and direct communications with sponsors and other entities., including state and federal regulations and agencies.

Education Requirement:

  • Bachelor's degree in Business Administration, Accounting or Finance or a relevant field, or equivalent combination of education and relevant work experience.

Required Qualifications:

  • One to three years professional grant related experience.
  • Experience with budget and budget preparation in an administrative role (typical experience is 1 - 3 years).
  • Extensive experience working with Desktop Tools such as Microsoft Word, including spreadsheets, word processing, email, calendars, managing tasks.
  • Ability to work with and build effective relationships with a variety of individuals and groups in a constructive and civil manner while appreciating the unique contribution of individuals.
  • Demonstrated ability to adapt to a changing environment; ability to adapt as needed. Adjusts to new or changing assignments, processes and people.
  • Demonstrated experience working in a dynamic and fast paced environment under deadlines.

Desired Qualifications:

  • Proficiency in UI Accounting System and in using MAUI.
  • Knowledge of federal, state, local, and private funding agencies, policies and regulations.
  • Experience with project management.
