What you will do at Harris County Precinct 4:

The Events and Philanthropy Coordinator plays a central role in partner engagement and high visibility events related to the work of Harris County Precinct 4. This position is responsible for ensuring that major events are executed at a high standard, philanthropy operations run with professionalism and consistency, and that external stakeholders experience thoughtful, strategic engagement.

This role sits at the intersection of governance, events, philanthropy stewardship, and operations. The Coordinator ensures that meetings are organized and polished, events reflect the standards of the organization, and systems are in place to support long term partner retention and engagement.

Key Responsibilities:

Event Strategy and Execution

  • Lead logistics and execution for major events, including luncheons, partners receptions, and stakeholder gatherings

  • Manage vendor contracts, venue coordination, timelines, and run of show

  • Oversee guest lists, sponsor engagement, and event communications

  • Provide on-site leadership for event execution and troubleshooting

  • Ensure events are polished, professional, and aligned with strategic objectives

Partnerships and Stakeholder Engagement

  • Support cultivation and engagement of external stakeholders through coordinated events and communications

  • Maintain accurate tracking of partner engagement and event participation

  • Coordinate recognition and appreciation touchpoints

  • Support strategic initiatives through high quality stakeholder engagement and event execution

  • Coordinate all relevant recurring quarterly meetings, including committee and executive committee meetings (averaging four meetings per month)

  • Manage scheduling, invitations, RSVP tracking, and materials distribution

  • Prepare and format agendas, packets, and presentation materials

  • Track action items and ensure follow through

  • Maintain organized governance records and documentation

Operational and Contract Oversight

  • Maintain organized systems for contracts, vendor agreements, and event related documentation

  • Track purchases and event related expenditures

  • Coordinate with finance staff to ensure accurate reporting and compliance

  • Monitor timelines and deliverables to ensure accountability

Cross Entity Coordination

  • Serve as a key liaison between Precinct 4 and Precinct4Forward for joint events and governance functions

  • Coordinate across Innovation, Policy, Communications, and Operations teams to ensure alignment

  • Maintain professional communication with external partners and stakeholders

Education:

  • Bachelor's degree

Experience:

  • 3+ years of experience in event management, board governance support, nonprofit administration, or partner engagement operations

  • Demonstrated ability to manage multiple high-level meetings and events simultaneously

  • Strong organizational systems and attention to detail

  • Excellent written and verbal communication skills

  • Professional presence and ability to engage priority external stakeholders and senior leadership

  • Experience managing vendors and tracking contracts

  • Comfort working across both government and philanthropic environments

Preferences

Work Environment

  • This position requires regular collaboration with government and nonprofit teams and occasional evening or weekend hours for events.
