Job Description:
The Archdiocese of St. Louis strives to teach and share our faith, serve others, and foster unity throughout the St. Louis area. Once a part of Kenrick-Glennon Seminary's campus, the Cardinal Rigali Center in Shrewsbury, MO is today the headquarters and curia (governing body) for the Archdiocese of St. Louis.
Job Summary
St. Pius V Catholic Church is seeking a detail-oriented and welcoming Part-Time Office Manager/Parish Secretary to support the daily operations of the parish office. This position serves as the first point of contact for parishioners, visitors, vendors, and community members while providing administrative, clerical, and communication support to the Pastor, parish staff, ministries, and parish organizations. The typical schedule is three days per week (Monday, Tuesday, and Wednesday).
Essential Responsibilities
- Welcome visitors, parishioners, and guests and direct them to the appropriate staff member or ministry.
- Answer, screen, and route incoming telephone calls; take and relay accurate messages.
- Provide administrative and clerical support to the Pastor, parish staff, ministries, and parish organizations.
- Manage incoming and outgoing mail and distribute correspondence as needed.
- Maintain office supplies and coordinate ordering when necessary.
- Prepare and distribute parish communications, including weekly bulletins, Flocknote communications, intercessions, website updates, and other outreach materials.
- Coordinate parish events, facility usage, and maintain the parish calendar.
- Maintain parishioner records and database information.
- Assist with sacramental recordkeeping, including baptisms, marriages, funerals, registrations, and other parish records.
- Coordinate and schedule liturgical volunteers, including Lectors, Extraordinary Ministers of Holy Communion, and Altar Servers.
- Manage volunteer compliance requirements through the Archdiocesan Prevent and Protect program.
- Maintain a neat, organized, and welcoming reception and office environment.
- Perform additional administrative duties as assigned.
Qualifications
- High school diploma or equivalent required.
- Three to five years of administrative, secretarial, or office experience preferred.
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- Experience with Google Workspace (Docs, Drive, Sheets, Forms) preferred.
- Experience with Canva and parish communication tools is a plus.
- Experience with bookkeeping, database, or business software preferred.
- Ability to learn and utilize new technology and software applications.

- General knowledge of and support for the mission and teachings of the Catholic Church.
- Excellent customer service and interpersonal skills.
- Strong verbal and written communication abilities.
- Excellent organizational skills with attention to detail.
- Ability to handle confidential information with discretion and professionalism.
- Ability to manage multiple priorities and work independently.
- Strong computer and office technology skills.
- Ability to work collaboratively with clergy, staff, volunteers, parishioners, vendors, and community members.
Working Conditions
- Part-time position scheduled three days per week.
- Primarily office-based environment with frequent interaction with parishioners, volunteers, staff, and visitors.
- Occasional flexibility may be needed to support parish events and activities.
