Job Summary
The American Heart Association is seeking a Temporary Project Coordinator for its National Center office in Dallas, Texas. Home-based work is available.
This is a full-time, fixed-term position with an end date of October 1, 2027. The Project Coordinator provides administrative and project support, coordinates multiple activities and projects, maintains databases and records, and supports conferences, vendors, communications, and related operational functions.
Key Responsibilities
- Update spreadsheets, upload files, prepare weekly reports and tracking documents, manage email responses, and process expense reports.
- Assist with conference presentations and slides as needed.
- Support conference packing and logistics.
- Conduct professional credential research.
- Assist with conference reception logistics.
- Coordinate with outside vendors.
- Support interdepartmental logistics and communications.
- Build and maintain professional relationships.
- Build sessions and oversee databases.
- Assist with maintaining and organizing data.
- Support testing, submissions, and review sites.
- Prepare notifications and communications.
- Perform functions using the Oasis Abstract Management system.
Qualifications
- High school diploma or equivalent.
- Minimum of three years of relevant experience.
- Minimum of six months of administrative and/or project coordination experience.
- Intermediate proficiency with Microsoft Office programs.
- Intermediate typing and filing skills.
- Intermediate proficiency using artificial intelligence tools such as Microsoft Copilot.
- Ability to coordinate and manage multiple projects simultaneously from beginning to end without supervision.
- Strong attention to detail.
- Ability to prioritize work assignments, remain flexible when scheduling tasks, and manage time effectively.
- Good written and verbal communication skills.
- Strong writing and editing skills.
- Ability to communicate effectively by telephone and in meetings.
