About the Role
Title: Production Coordinator
Location: Long Island City, New York
About you:
As a Production Coordinator, you'll keep creative work moving. You'll manage a moderate-to-large flow of assets between copywriters, designers, and motion designers, making sure every file is where it needs to be, in the right version, at the right time. You understand how creative teams work, you catch problems before they become delays, and nothing gets lost on your watch.
Responsibilities include but are not limited to:
- Manage the flow of creative assets between team members: intake, versioning, organization, handoffs, and delivery
- Track project status across multiple concurrent workstreams and keep stakeholders updated on progress, owners, and deadlines
- Maintain clean, consistent file organization and naming systems so assets are always findable and current
- Understand core creative roles (copy, design, motion design, post-production) and how work moves through the pipeline
- Communicate directly and proactively with internal team members and external partners
- Recall and provide project details (who, when, where) on demand, and route inquiries to the right person
- Spot liabilities or gaps in creative concepts and timelines that could complicate delivery, and raise them early
- Handle basic production accounting: navigate a budget, reconcile receipts, balance a ledger
- Proof and correct spelling and grammar across documents, sheets, and slides
Requirements:
- 2+ years of experience in production coordination, traffic/asset management, or project management on an agency or in-house creative team
- Experience supporting B2B clients or brands is a major bonus
- Strong verbal and written communication with internal teams, clients, and external partners
- Exceptional organizational and information-management skills; able to manage multiple tasks and priorities in a fast-paced environment
- Meticulous eye for quality and detail
- Proficiency in word processing, spreadsheets, and presentation software
- Proactive problem-solver, adaptable to evolving project needs
Nice to have:
- Bachelor's degree in Film, Media Production, Communications, or a related field
- Familiarity with asset management or project management tools (e.g., Asana, Frame.io, DAM platforms)
