The Performing Arts Office Assistant provides logistical, technical, and clerical support for Theatre and Performing Arts operations under the direction of the Performing Arts Department Chair and the Dean of Arts and Sciences. This position manages ticketing, box office operations, student payroll, and event coordination for performances and community rentals, supporting the department's tradition of excellence in live performance.
PRIMARY DUTIES AND RESPONSIBILITIES FOR WHICH THIS INDIVIDUAL IS ACCOUNTABLE

Manage and reconcile ticket sales, deposits, and financial documentation.

Supervise, train, and schedule student box office and front-of-house workers.

Coordinate with Theatre faculty, Technical Director, and Marketing on publicity and patron communications.

Assist with facility scheduling, setup, and technical coordination for performances and external rentals.

Approve time sheets for student workers and maintain patron and donor databases.

Provide front-line customer service during performances and community events.

Maintain inventory of supplies related to Theatre operations.

Support travel coordination, correspondence, and recordkeeping for Theatre and Performing Arts events.

Help ensure compliance with safety and accessibility standards in theatre spaces.

Keeps the finances of the Theater program by bookkeeping, creating requisitions & placing orders, making payments, tracking shipments, creating bi-monthly reports, and coordinating with the College Business Office.

Assumes responsibility for preparing and processing all Employee Reporting Forms and other application materials for professional employees, student employees, accompanists, and guest artists. Maintains records of these documents. Maintains a database on all employees in Theatre and tracks the payroll budget. Maintains a record of all employee paychecks, verifies that all employees have been paid, and that checks are sent out.

Schedules and coordinates all campus, community and outside rentals of the theatre. This includes scheduling and managing the communication between renting agenecy and appropriate Western personnel.

Assists in preparation and coordinates the mailings of the Theatre Program's production letters, postcards, flyers, brochures and other mailings. Prepares all bulk mailing for the office. Stays up to date on the bulk mailing rules and regulations. Also assumes responsibility for all incoming mail.

Creates, manages, and maintains the Theatre database of all student contacts within the program and all prospective students.
Minimum Qualifications
MINIMUM QUALIFICATIONS (Education and Experience, Knowledge and Abilities)

Associate's degree in business, communications, theatre, or related field.

One year of office or event experience; familiarity with theatre operations preferred.

Strong communication and customer service skills.

Ability to work evenings and weekends during production periods.
Knowledge of:
- Theater programs
- College policies, rules, regulations and guidelines
- Microsoft Office Programs, e.g. Word, Excel, etc.
- Basic Print Design and Layout
- Basic Public Relations Principles
- General office practices and procedures
Ability to:
- Communicate effectively verbally and in writing
- Maintain effective working relationships with other people
- Multitask using organization and system processing skills
- Delegate to and track the progress of a staff
- Work with minimal supervision, organize an office, solve problems and identify applicable solutions
- Maintain a professional, congenial and confidential demeanor when dealing with faculty, staff, students and the public
Equivalency Statement
For those candidates who do not exactly meet all minimum qualifications, an equivalent combination of education and experience, which has provided comparable knowledge and abilities, may be accepted.
