Legal Assistant – Litigation

Job Overview
The Legal Assistant is responsible for providing administrative and document support to assigned lawyers.
Main Responsibilities
- Prepare drafts of pleadings, court documents, legal briefs, and routine correspondence. Review standard and complex legal documents and correspondence according to provided instructions.
- Process converted or corrupted documents and resolve related issues.
- Prepare transcriptions of written or recorded statements and documents.
- Compile various legal materials, including motion records, affidavits of documents, legal briefs, and appeal books.
- Arrange for service and filing of documents with the courts.
- Enter billable hours by file number; prepare monthly billing statements and expense accounts for review and approval.
- Organize and maintain filing systems for various clients (paper and electronic documents); ensure records are maintained and updated in the firm’s document management system.
- Maintain and update calendars and contact lists. Upon request, coordinate flight and travel itinerary arrangements.
- Perform additional administrative duties as needed, including greeting clients, handling incoming calls, photocopying, scanning, mail sorting, document binding, preparing cheque requests, and setting up meeting rooms.
Qualifications and Experience
Qualifications
- Diploma in legal secretarial studies, legal assistant studies, or legal technician/paralegal studies.
- Minimum of five years of experience as a litigation legal assistant.
- Experience with class actions and civil litigation matters.
- Strong knowledge of Rules of Civil Procedure and court procedures.
- Proficiency with Microsoft Office applications (Outlook, Excel, PowerPoint, and Word); knowledge of Summation software is an asset.
- Experience working with document management systems.

- Excellent interpersonal and communication skills (written and verbal) in both French and English.

- Flexibility to occasionally work overtime.

Additional Information
- This is a hybrid position requiring four days in office and one day remote.
- More frequent office attendance is required during onboarding and training.
