Job Description:
We have an exciting opportunity for a Human Resources Assistant in the Washington DC office at Eversheds Sutherland (US) LLP. We are searching for someone who wants to be a valued contributor and member of a talented and dynamic team of lawyers, paralegals and business professionals.
The Human Resources Assistant is responsible for supporting the goals and activities of the Firm’s Human Resources Department. Responsibilities include but are not limited to special projects and events, maintenance of personnel files, onboarding, invoice processing, and administrative tasks including calendar management, database updates, correspondence, filing, and travel logistics.
Responsibilities and Duties:
- Acts as the first point of contact for the Human Resources Department. Answers and screens incoming telephone calls; assists directly with routine inquiries by employees and attorneys.
- Processes new hires in HR System and E-Verify.
- Processes and files departmental notifications for all new hires, departures, changes, or moves within appropriate offices.
- Processes invoices and maintains information related to the department budget.
- Coordinates travel and processes expenses and reimbursements for managers and Director of HR.
- Maintains timesheet software and approval of staff timesheets and answers questions related to the same.
- Creates and maintains personnel files (electronic & hard copy); manages the file room.
- Coordinates employee appreciation gifts as well as arrangements to employees for sickness, bereavement, condolences, etc.
- Completes and tracks routine inquiries from outside the Firm on matters such as employment verifications.
- Plans, coordinates and assists with execution of department meetings and firm events hosted by the Human Resources Department.
- Updates SABER employee directories and HR pages in conjunction with notification changes.
- Coordinates schedules for the Human Resources Managers and Director of Human Resources.
- Assists in recruiting efforts with job postings and scheduling, when needed.
- Serves as a back-up to the Talent Acquisition Coordinator in onboarding by creating orientation schedules, providing basic paperwork for orientation of new employees and entering new hires in HRIS database.
- Coordinates and assists with retention, turnover salary and general employment surveys.
- Processes address, name changes and emergency contact updates within HR System.
- Conducts research, gathers data and disseminates information for and on behalf of the Director of Human Resources.
- Coordinates and completes projects and duties, as assigned by Director of Human Resources and Human Resources Managers.
Knowledge, Skills and Abilities:
- Bachelor’s degree is required.
- Two plus years of administrative experience in a law firm or professional services environment is required.
- Excellent interpersonal, written and verbal communication skills.
- Must be able to maintain a high degree of confidentiality, work with minimal supervision and interact with all levels of personnel.
- Proven analytical and problem-solving skills.
- Excellent computer skills and knowledge of MS Office Suite with proficiency in Outlook and a high proficiency in Excel. Must possess discretion in working with confidential information.
- Prior experience with HRIS systems is required.
This is a hybrid role and will require on-site presence 4 days per week. The salary ranges for this position vary depending on the geographic location and other factors such as experience, internal equity, market data, and job-related considerations. The range for this position is from $55,000 - $70,000, with offers contingent upon the various factors.
