Job Description:

Grant Program Manager

The University of Texas MD Anderson Cancer Center is seeking a Grant Program Manager within the GI Medical Oncology department. The Grant Program Manager plays a critical role in supporting complex research initiatives, overseeing grant activities, and ensuring alignment with departmental goals. GI Medical Oncology focuses on advancing research, clinical trials, and treatment strategies related to gastrointestinal cancers through multidisciplinary collaboration and strategic partnerships.

UT MD Anderson is a globally recognized leader dedicated to eliminating cancer through patient care, groundbreaking research, prevention, and education. The Grant Program Manager contributes directly to this mission by enabling the successful execution of sponsored research projects. This Grant Program Manager position requires expertise in grant administration, collaboration across teams, and proactive problem-solving to ensure operational and financial compliance across multiple awards.

The ideal candidate will have a strong background in grant administration, including both pre-award and post-award processes, along with experience supporting research programs. A combination of education, relevant experience in research administration, and demonstrated ability to manage complex grant portfolios is preferred. Strong analytical, organizational, and communication skills, along with proficiency in budget development and compliance monitoring, are essential.

Minimum $37.98 - Midpoint $47.60 - Maximum $57.21 hourly

Responsibilities

Grant Management

  • Provide administrative planning and oversight for assigned contracts and departmental grant activities
  • Oversee post-award activities including salary budgets, expenditures, compliance monitoring, extensions, and close-outs
  • Act as departmental effort coordinator and maintain effort tracking databases
  • Collaborate with Financial, Regulatory, and Study Teams on grant-related administrative duties
  • Organize clinical research meetings and coordinate grant-related processes
  • Implement systems, policies, and procedures for grant lifecycle management
  • Maintain grant submission and award databases ensuring FIS data accuracy
  • Track effort changes and coordinate timely ePAF updates with reporting cycles

Pre-Award

  • Manage all components of grant submission including formatting, packaging, and timely submission
  • Develop and review research grant budgets including personnel, supplies, and services
  • Prepare grant documents such as biosketches, progress reports, and other support documentation
  • Coordinate proposal approvals and ensure compliance with agency requirements
  • Maintain organized grant files and ensure proper documentation of submissions
  • Create and distribute grant summary documents for tracking and reporting
  • Coordinate site visits, prepare agendas, and ensure investigator deliverables are submitted
  • Manage fund allocation across multiple projects and assist with reporting
  • Mentor staff in grant processes and best practices
  • Serve as liaison with internal and external stakeholders including ORA, IACUC, IBC, OPR, OSP, CRF, and sponsors

Post-Award

  • Maintain knowledge of funding policies and communicate updates to the department
  • Collaborate with Accountant II on financial and compliance updates
  • Produce quarterly reports tracking grant submission and status accuracy
  • Prepare progress, personnel trending, and allocation reports
  • Provide cost estimates to investigators for personnel, equipment, and supplies
  • Monitor expenditures and advise on adjustments to ensure proper grant close-out
  • Maintain subcontract activities including invoicing and payment tracking
  • Facilitate budget changes, extensions, and approvals from funding agencies
  • Process financial actions such as BAFs, expense transfers, and certification support

Additional Duties

  • Perform other assigned duties and represent the department professionally
  • Maintain organized work environment and manage physical file systems
  • Utilize office equipment and software including advanced Excel functions
  • Adapt to new systems and software through continuous learning
  • Work effectively under pressure while maintaining accuracy and timeliness

EDUCATION

  • Required: Bachelor's Degree

WORK EXPERIENCE

  • Required: Two years Grant management experience such as grant writing, grant submission and financial administration and one year of lead or supervisory experience.

May substitute required education degree with additional years of equivalent experience on a one to one year basis.

Successful completion of the LEADing Self Accelerate and/or LEADing Self Discover programs may substitute for one year of required supervisory or management experience. Completion of both programs can be substituted for a maximum of two years of supervisory or management experience.

OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
