THE ROLE
We are looking for an exceptional Executive Assistant / Personal Assistant to support a high-level music executive across both business and personal/family responsibilities.
This is a fast-paced, high-touch role for someone who is extremely organized, proactive, resourceful, discreet, and comfortable managing a constantly changing schedule. The ideal candidate has experience working directly for a high-level executive, entrepreneur, founder, or similarly demanding principal and understands how to anticipate needs rather than simply react to requests.
WHAT THIS ROLE WILL DO
You will be responsible for managing and coordinating a wide range of business and personal logistics, including:
- Managing an extremely busy and constantly changing calendar
- Scheduling and coordinating meetings, calls, appointments, and commitments
- Managing personal and family schedules and logistics
- Making restaurant, hotel, travel reservations
- Working with a travel agent to coordinate domestic and international travel
- Managing itineraries and making sure all logistics are handled smoothly
- Keeping track of appointments, deadlines, commitments, and follow-ups
- Communicating with executives, clients, vendors, staff, friends, family members, and other contacts as needed
- Handling last-minute changes and time-sensitive requests calmly and efficiently
- Researching and solving problems quickly when something unexpected comes up
- Anticipating potential scheduling conflicts or logistical issues before they become problems
- Helping keep both the executive's professional and personal life organized and running smoothly
- Handling sensitive and confidential information with complete discretion
- Taking ownership of tasks from start to finish without needing constant direction
WHAT THIS PERSON IS
- Highly organized - you naturally keep track of details, deadlines, schedules, and moving pieces
- Proactive - you anticipate what needs to happen next instead of waiting to be asked
- Resourceful - when you encounter a problem, you figure it out
- Extremely detail-oriented - small details matter to you
- Responsive and reliable - you understand that timely communication is critical in this role
- Calm under pressure - last-minute changes and unexpected requests don't rattle you
- Flexible - you are comfortable with a schedule that doesn't always fit neatly into traditional business hours
- Thick-skinned - you can handle a demanding environment and direct communication without taking things personally
- Low ego - you're focused on getting things done, not on titles or recognition
- Discreet and trustworthy - you understand the importance of confidentiality
- A strong communicator - you know how to communicate clearly, efficiently, and professionally
- A problem solver - you don't come back with "I can't"; you come back with solutions and options
REQUIREMENTS
- 3 to 4 years of experience directly supporting a high-level executive, founder, entrepreneur, celebrity, or other high-profile/demanding principal
- Demonstrated ability to manage complex schedules and multiple priorities simultaneously
- Strong organizational and time-management skills
- Excellent judgment and discretion
- Experience managing both professional and personal/family logistics
- Experience working in a fast-paced, high-demand environment
- Ability to be available outside traditional business hours when needed
Schedule: Flexible / non-traditional hours, including early mornings, evenings, and occasional weekends
Location: Office is based in Beverly Hills; remote considered
The expected compensation for this position is: $75,000.00 USD - $80,000.00 USD
