In this role, you will provide confidential, high-level administrative and operational support to Management Committee members, serving as a trusted liaison with senior leaders, employees, customers, and external stakeholders. You will manage complex calendars, coordinate meetings and travel, prepare materials and expense reports, support executive communications, and assist with special projects that require discretion, organization, and sound judgment.
What You’ll Do
- Provide professional, confidential administrative support to executive leaders while keeping daily operations organized and on track.
- Manage complex calendars, meeting logistics, travel arrangements, documents, correspondence, and expense reporting with accuracy and timeliness.
- Serve as a trusted point of contact for internal and external stakeholders, using strong judgment in sensitive, complex, or time-critical situations.
- Maintain organized records, information, invoices, and administrative processes that support timely follow-up and efficient executive operations.
- Coordinate executive-related events, recognition activities, attendance reporting, supplies, and other administrative needs that support the executive office.
Skills and Background You’ll Need:
Required Education: High school diploma/GED
Preferred Education: Bachelor’s degree
Required Experience: Minimum 2 years of progressively responsible administrative experience supporting senior-level leaders, including experience interacting with customers, vendors, and executive-level visitors.
- Strong proficiency with of Microsoft Office/Microsoft 365 applications including Outlook, Word, Excel, PowerPoint, Teams, and productivity/AI tools where applicable.
- Advanced organizational and time-management skills, including the ability to strategically coordinate complex calendars, prioritize competing tasks, and meet deadlines.
- Demonstrated discretion and sound judgment in safeguarding sensitive, confidential, or business-critical information.
- Strong knowledge of company operations, policies, and procedures, with the ability to clearly communicate decisions, priorities, and direction verbally and in writing.
- Detail-oriented with the ability to anticipate executive needs, manage critical tasks on an executive’s behalf, and identify emerging opportunities, risks, or challenges.
- Ability to adapt quickly to changing priorities and diverse needs while working independently, collaboratively, and with limited direction.
Preferred Experience: Minimum of 5 years of progressively responsible administrative experience supporting executive officers.
- Advanced proficiency with Microsoft Office/Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams, and productivity/AI tools where applicable.
Travel Requirements: Occasional travel only (such as for planning purposes, team building, or conferences) may be required.
