We are looking for an exceptional and motivated Executive Assistant and Office Administrator to join our Marketing and Communications & Corporate Affairs teams in Rhodes.
In this role, you will join a collaborative team where you will be a strong team player with a history of delivering results in a dynamic environment. This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
A day in the Life
Reporting to our Marketing & Communications Director Oceania, a day in the life will look like:
- Maintain calendar, including scheduling meetings, appointments, and engagements for the Director of Marketing and Communication and Director Corporate Affairs.
- Providing timely and effective administrative support to stakeholders, including expenses, budgets, catering and meeting related needs.
- Organisation of domestic and detailed international business-related travel
- End-to-end event management of internal and external team business activities, including various monthly and quarterly business meetings
- Ability to organise and support on fun and engaging Marketing functions
- Collate and manage documents requiring approval by senior stakeholders
- Maintain team organisation chart and contact lists
- Proactive preparation of agendas, minutes, consolidating of presentations, and liaising with presenters.
- New team member inductions and on-boarding
- Manage end to end process of purchase orders, including any issue resolution with parked and blocked purchase orders
- Close collaboration with departmental EA peers
What will make you successful
- 5+ years of demonstrated experience as an executive assistant.
- Demonstrated track record in managing senior executives who interact with key internal and external stakeholders.
- You will be a strong, interactive and approachable team player with a history of delivering results in a high pressure and dynamic environment.
- Strong communication skills, verbal and written and organisational skills
- You will be an interactive and collaborative team player
- Trusted point of contact, ensuring discretion and confidentiality at all times.
- Demonstrated computer competency in MS office applications, calendar management, Concur, and communications technology.
