VITALL is looking to expand its dedicated client support and implementation team with a committed and experienced Clinical Implementation Coordinator. The Clinical Implementation Coordinator guides new clients through their onboarding journey, ensuring they successfully launch and are positioned to achieve their clinical and operational goals with our cutting edge products and services. This role combines clinical expertise, project management, and relationship building to create positive first impressions and set healthcare clients up for long-term success.

 

We are seeking a highly relational, organized, effective communicator to fill the role of the Clinical Implementation Coordinator who will manage the onboarding process from kickoff through launch, serving as the primary point of contact for new healthcare clients during this critical phase. This includes conducting kickoff calls, in-person onboarding, gathering clinical workflow requirements, and coordinating implementation timelines to keep projects on track. At the completion of implementation, this role conducts a smooth handoff to the Client Support team, ensuring all relevant Client context is documented and communicated. The coordinator also gathers feedback from patients, clinicians, and other healthcare roles to continuously improve the onboarding experience.

Responsibilities:

  • Manage the onboarding process from kickoff through launch for new clients, serving as their primary point of contact during implementation
  • Conduct kickoff meetings and discovery sessions to understand client workflows, clinical needs, and implementation goals
  • Travel to client sites during critical implementation phases, providing hands-on guidance and building strong in-person relationships
  • Lead implementation plans with clear timelines, milestones, and success criteria for each client
  • Coordinate training for clinical and administrative staff, adapting your approach to different learning styles and technical comfort levels
  • Track project progress, proactively identify risks or roadblocks, and adjust plans as needed to ensure successful go-lives
  • Coordinate with internal teams (support, product, technical) and external stakeholders to keep implementations on track
  • Contribute to onboarding materials, training guides, and workflow documentation for clients
  • Conduct check-ins throughout the implementation to address questions, provide support, and maintain momentum
  • Manage multiple client implementations simultaneously, maintaining quality and diligence
  • Translate technical features into clinical benefits that resonate with healthcare practitioners
  • Troubleshoot issues during implementation and work with appropriate teams to resolve quickly
  • Document all client interactions, preferences, and implementation details
  • Conduct smooth handoffs to the Client Support Specialist, ensuring complete knowledge transfer and documentation
  • Gather client feedback on the onboarding experience and identify opportunities to improve the implementation process
  • Contribute to up-to-date knowledge of the product, clinical best practices, and healthcare industry trends
  • Maintain strict confidentiality of records, client information, and company information
  • Ensure ongoing compliance with quality and industry regulatory requirements
  • Participate in regular privacy and security training
  • Adherence to company policies, following all privacy and security protocols
  • Other job-related duties may be assigned as required

 

Qualifications: 


Required:

  • Nursing designation (RN or RPN)
  • 5+ years of experience working in a clinical setting
  • Experience in a cardiology clinic or equivalent
  • Strong understanding of clinical workflows, patient care processes, and healthcare compliance requirements
  • Excellent presentation and training abilities with clinical and non-clinical audiences
  • Strong project management skills with ability to manage multiple client implementations simultaneously
  • Technical aptitude and ability to quickly learn healthcare software or systems
  • Exceptional organizational skills and attention to detail
  • Empathetic communication style with a focus on clinical adoption and patient outcomes
  • Ability to travel to client sites, including extended trips that may require overnight hotel stays for several days at a time, potentially in remote locations


Preferred:

  • Active clinical license or certification in good standing
  • Experience with healthcare software implementations or clinical system conversions
  • Familiarity with EHR systems, practice management software, or relevant healthcare technology
  • Project management experience
  • Knowledge of healthcare compliance standards
  • Bilingual language skills (French)
  • Understanding of value-based care models, quality metrics, or clinical outcomes measurement
  • Previous experience in a client-facing role within a SaaS or healthcare technology company
  • Experience working remotely and managing time independently while traveling
