Job Description:
The ideal candidate will have solid experience as a litigation legal secretary and be comfortable supporting attorneys with all aspects of civil litigation, including court filings (state and federal), trial preparation, and case management. This position requires strong organizational skills, keen attention to detail, and the ability to work both independently and as part of a collaborative team.
Key Responsibilities:
- Prepare, proofread, and file legal documents with state and federal courts, including e-filing.
- Assist attorneys with all phases of trial preparation, including preparing, revising and finalizing court documents, preparing exhibits, witness lists, trial binders, and coordinating with clients and experts.
- Manage attorney calendars, schedule depositions, hearings, and meetings, and ensure deadlines are met.
- Transcribe dictation and draft correspondence, pleadings, and discovery.
- Maintain and organize physical and electronic case files using the Firm’s document management system.
- Communicate professionally with clients, courts, and opposing counsel.
Required Skills and Qualifications:
- Minimum of 5 years’ experience as a litigation secretary supporting civil litigation attorneys.
- Strong working knowledge of Worldox, NetDocs or other DMS.
- Excellent knowledge of California Civil Procedure and Court Rules.
- Experience with e-filing in both State and Federal Courts.
- Trial preparation experience.
- A strong ability to schedule meetings with clients, experts, attorneys and co-counsel, including court appearances.
- Excellent grammar, proofreading and organizational skills.
- Ability to prioritize tasks, manage multiple deadlines, and maintain accuracy under pressure.
- High level of discretion and professionalism in handling confidential information.
- Proactive, detail-oriented, and able to work independently with minimal supervision.
- Knowledge of Microsoft Office 365
