This position will have a hybrid schedule requiring to go to the South Bend's office Tuesday through Thursday and work from home Monday and Friday.
Job Overview
This position will support the Business Services team by managing a wide range of responsibilities that ensure accuracy and efficiency across billing and client services.
Key duties include creating bundled surveys to address client overages, reviewing documentation for billing component setup, maintaining client records such as billing contact updates and purchase orders, assisting Billing Analysts with contract setup, completing clean up of monthly audits, and offering general administrative support as needed.
In addition, the role is responsible for coordinating all billing related to travel expenses and conference registrations. This includes gathering information from multiple systems, generating and distributing invoices and supporting documentation, and serving as a primary point of contact for inquiries from both clients and Press Ganey associates.
Success in this position requires the ability to build and maintain strong working relationships with internal and external stakeholders, along with exceptional attention to detail to proactively identify, prevent, and resolve billing issues in a timely and accurate manner.
Duties and Responsibilities
- Maintain and reconcile a monthly spreadsheet of all client‑billable travel expenses, including retrieving receipts from Workday, cross‑referencing them against submitted expenses, preparing and sending invoices, responding to client and peer inquiries, and issuing credits as necessary.
- Manage bundled survey spreadsheet to ensure clients are billed for survey overages according to their contracts.
- Ensure all required documentation is prepared and available for the Component Implementation Audit by updating the tracking spreadsheet, verifying that billing components are correctly updated within the system, and forwarding final contracts to the appropriate Billing Analyst for review. Collaborate with the Contracts Team, Regional Support, and Sales Teams to identify and resolve any missing documents or discrepancies.
- Oversee updates to purchase orders and billing contact information.
- Review audits and spreadsheets sent by Sr. Director or Director of Billing Services and ensure appropriate updates have been made.
- Work with marketing team to identify conference registrants that have requested an invoice for their registration fees. This includes creating and sending invoices to clients, answering any questions that arise and issuing credits as necessary.
- Serve as a resource to the team by supporting projects aligned with this role’s responsibilities.
Qualifications
- 3-5 years of relevant experience in billing, finance, banking or similar role
- Excellent written and verbal communication skills are required
- Excellent analytical, organization and problem-solving skills
- Strong attention to detail
- Proficiency with Microsoft Office (Excel, Word, Outlook, etc.)
- Ability to work independently
Education
- High School Diploma
The expected base hourly range for this position is $20 p/h to $21.60 p/h.
