Job Description
We are looking for a highly organized and reliable Administrative Support professional to join our team in Italy. This role is essential in ensuring the smooth day-to-day running of the office by providing comprehensive administrative assistance across multiple functions.
The ideal candidate will have at least 5 years of experience, strong multitasking abilities, and fluency in both Italian and English.
- Provide general administrative support to the office and management team
- Manage calendar scheduling, meeting coordination, and travel arrangements
- Handle correspondence (emails, phone calls, letters) in Italian and English
- Maintain and organize documents, records, and filing systems (physical and digital)
- Support office operations including supplies, vendors, and facility coordination
- Assist with invoicing, expense tracking, and basic financial administration
- Prepare reports, presentations, and internal communications
- Coordinate with internal departments and external stakeholders
- Ensure compliance with company policies and local administrative procedures
Qualifications
- Minimum 5 years of experience in administrative or office support roles
- Fluency in Italian and English (written and spoken)
- Strong organizational and time-management skills
- Excellent attention to detail and problem-solving abilities
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Ability to manage multiple priorities in a fast-paced environment
- Strong interpersonal and communication skills
- High level of discretion and professionalism
Preferred Qualifications (Nice to Have)
- Experience in an international or multicultural environment
- Knowledge of basic accounting and administrative processes
- Familiarity with office management tools and systems
