Gemini Energy Services is adding an Administrative Assistant to our Renewable Energy team based in San Diego, California. This position will provide administrative, accounting, staffing, and office operations support to help ensure efficient day-to-day business operations and workforce readiness.
The successful candidate will be highly organized, detail-oriented, comfortable managing multiple priorities, and able to communicate effectively with employees, managers, Human Resources, vendors, and other business partners.

Essential Job Functions:
Administrative & Accounting Support
- Reconcile invoices for Accounts Payable, employee expense reimbursements, and corporate credit card accounts.
- Create, maintain, and organize spreadsheets used to track accounts, invoices, receipts, clients, vendors, and other company data.
- Maintain accurate records and ensure proper document storage within cloud-based systems.
- Track and communicate employee work status and related updates.
- Prepare professional business correspondence, reports, memoranda, and other documents with minimal supervision.
- Adapt to changing business needs and assist with projects or responsibilities as assigned.
Staffing & Employee Support
- Coordinate with Human Resources on the onboarding and offboarding of wind technicians and other employees.
- Prepare and maintain applicable employee documentation and records.
- Communicate with Human Resources regarding employee updates, including leave requests, policy questions, and changes in location or assignment.
- Serve as a liaison between management and Human Resources, providing updates regarding employee assignments and other staffing matters.
- Maintain confidentiality and handle employee and business information professionally.
Office Operations
- Maintain office inventory and order supplies as needed.
- Manage incoming and outgoing mail, FedEx shipments, and general office purchases.
- Organize and track company vehicle registrations and related documentation.
- Support employee access to company systems by coordinating the addition and removal of users and maintaining applicable system records.
- Provide general administrative and operational support to the San Diego office and Renewable Energy team.
- Conduct activities in accordance with company procedures, legislation, and industry standards.
- Pursue continuous professional development and maintain a high degree of technical knowledge and industry awareness.
- Work safely at all times and report health and safety observations, near misses, and incidents.
- Perform additional duties as assigned.
Required Qualifications:
- High School Diploma or equivalent; relevant work experience may be considered in lieu of education.
- 1–2 years of relevant administrative, office operations, accounting support, or related experience.
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
- Strong organizational and time-management skills, with the ability to manage personal work schedules and meet deadlines.
- Ability to manage multiple priorities effectively in a fast-paced environment.
- Strong interpersonal skills with the ability to work effectively across all levels of the organization.
- Excellent written and verbal communication skills.
- Strong problem-solving and research abilities, with the initiative to identify solutions independently.
- Ability to maintain confidentiality and appropriately handle sensitive information.
- Must possess a valid driver's license with a clean driving record without restrictions.
Preferred Qualifications:
- Previous administrative experience supporting Human Resources, accounting, operations, or field-based employees.
- Experience with invoice reconciliation, expense reporting, or corporate credit card administration.
- Experience supporting employee onboarding and offboarding.
- Additional education, training, or relevant professional certifications.
Physical Requirements:
- Prolonged periods of sitting or standing at a desk and working on a computer.
- Occasional standing, walking, bending, and reaching.
- Ability to occasionally lift and carry office supplies, files, mail, or packages weighing up to 25 pounds.
Work Environment
- This position is primarily performed in a professional office environment with frequent use of computers, telephones, printers, and other standard office equipment.
- The position requires frequent interaction with employees, managers, vendors, and external service providers through in-person, telephone, email, and virtual communications.
- This is a full-time position, 40 hours per week, Monday through Friday. The position is hybrid and based in San Diego, California, with in-office work required. The hybrid arrangement is subject to review and may change based on business needs.

Compensation:
Pay commensurate with experience.
Pay Range: $21.00-$25.00 hourly
