About the Role
Title: Accounts Receivable Specialist & Bookkeeper
Location: USA - NYC
Job Description:
ccounts Receivable Specialist & Bookkeeper (Part-Time) - Remote | United States
Our client is a premier boutique family law firm based in SoHo, Manhattan, serving clients across New York's five boroughs, Westchester, and Nassau Counties. Led by a highly regarded attorney with 10+ years of experience, the firm handles complex matrimonial and family law matters — divorce, child custody, property division, and more. They are a small, high-caliber team looking to bring in dedicated billing and administrative support to professionalize their financial operations and free up attorney time for client work.
What You Will Do
- Own the billing process end-to-end once attorneys finalize monthly bills: send invoices to clients, track payment status, and maintain accurate records
- Follow up on overdue balances via email and phone — proactive, consistent collections outreach
- Monitor trust and retainer account balances and send replenishment requests as needed
- Manage and update client billing records in Clio (legal practice management software)
- Support basic bookkeeping tasks: data entry, expense tracking, and financial record maintenance in Excel
- Collaborate directly with the firm's principal and team to ensure billing runs smoothly each month
What You Must Have
- Must be based in the United States - this is a non-negotiable requirement
- 2+ years of experience in billing, accounts receivable, or collections
- Comfortable making outbound calls and sending follow-up emails to clients regarding overdue balances
- Strong attention to detail and ability to maintain accurate financial records
- Proficiency in Microsoft Excel
- Discretion and trustworthiness — you will handle sensitive legal and financial client data (SSNs, tax returns, retainer accounts)
- Reliable, self-directed, and comfortable working independently in a remote setting
- Bookkeeping experience - QuickBooks or equivalent
Nice to Have
- Experience with Clio (legal CRM and billing software) — strongly preferred
- Prior experience working with a law firm or legal billing processes
- Familiarity with trust accounting and retainer management
Role Details
- 📍Fully Remote - United States only
- Part-time - approximately 20–40 hours per month (5–10 hours per week), flexible schedule
- Potential to expand into a broader bookkeeping and admin role over time
