SRS Fingerprinting Specialist/Program Assistant

Position Overview:
The SRS Fingerprinting Specialist/Program Assistant provides digital fingerprinting, report submission, and resource information to sponsors and/or household members for the safe release of minor(s) into the sponsor’s care. of the Office of Refugee Resettlement, Division of Children’s Services (ORR/DCS). Funding for this position is provided by a grant from Global Refuge (Formerly Lutheran Immigration and Refugee Services). This role also supports day-to-day programmatic operations including: answering phone calls, taking massages, assisting walk-in clients, scheduling appointments, engaging in community outreach, and other support as needed.

 

The position is a full-time, forty (40) hour per week commitment with an hourly pay rate. The Fingerprint Specialist/Administrative Assistant serves as a role model for the team by displaying a positive and cooperative attitude, and supporting the mission of the program and the agency at all times.

 

 

This role requires direct work with clients who have experienced trauma related to trafficking, abuse, abandonment, and/or neglect. The Fingerprint Specialist/Program Assistant will interface with staff members and grant managers in order to promote the goals of family reunification and approval of client applications for relief. This role requires fluency in Spanish and English. The Fingerprint Specialist/Program Assistant is a key member of the team, who will provide interpretation and translation services as required.
Here’s what we’re looking for:

• Demonstrate a trauma-informed, human-centered, and strength-based philosophy by treating all clients and organizational members in a non-judgmental and respectful manner.
• Communicate via email and phone with shelter caseworkers, sponsors, grantor staff, and government agencies related to all aspects of the fingerprint program.
• Schedule fingerprint appointments and interact professionally with fingerprint clients while performing digital and/or paper fingerprinting tasks. Competently prepare and timely submit fingerprints according to established procedures.
• Ensure accurate data entry to the case management system. Report monthly fingerprint activity and assure the program meets grant requirements. Maintain fingerprint documents according to policy.
• Identify local medical/mental health/education/legal resources to assist minor(s) and sponsor with social support and successful acclimation to the community.
• Assist sponsors with fingerprinting and family reunification packet, as needed.
• Attend all trainings and monthly conference calls related to the fingerprint program.
• Comply with HHS Rules of Behavior for Use of HHS Information and Resources, ORR Policy and Procedures and Global Refuge Safe Release Support Program Site Operations Manual.
• Provide overall support for the activities within the department as needed including Spanish/English translation and/or interpretations.
• Provide general administrative support including, but not limited to, answering phones, taking messages, inputting data in case management system, and scheduling meetings.
• Maintain client database and case records, including case notes according to departmental procedures.
• Organize, scan, file, and disseminate all documentation received from post office and/or third party organizations as appropriate.
• Schedule and coordinate logistics for immigration clinics, staff trainings, and other informational events.
• Communicate with file shredding service and organize case filed eligible for shredding.
• Maintain departmental inventory and order postage, office supplies, and program materials as needed.
• Submit invoices to accounts payable department.
• Submit client payments and information to accounts receivable department.
• Interface with potential clients and gather appropriate information for transmission to paralegals and staff attorneys.
• Participate in weekly staff meeting and training programs as required.
• Function consistently with all agency policies including confidentiality as well as client rights and responsibilities.
• Complete all mandatory trainings and assignments on a timely basis.
• Assist management and perform other duties as assigned.

Qualifications:

• High School diploma or equivalent required.
• 2 years of administrative/professional experience or equivalent education working with customer service, child welfare, and/or working with immigrant communities.
• Verbal and written Spanish and English fluency required.
• Successful yearly completion of FBI Fingerprinting criminal background check for the past seven (7) years and Child Abuse Network background checks in any state of residence for the past five (5) years required.
• Yearly negative TB test required.
• Ability to work in multicultural and multilingual environment.
• Attention to detail.
• Strong verbal and written communication skills.
• Strong interpersonal and relationship building skills.
• Computer competency in Microsoft Word, Excel spreadsheets, and usage of internal database (training provided).
• Ability to work effectively and flexibly in a team environment and maintain a positive attitude.
• Ability to handle complicated client or sponsor interactions with professionalism.
• Capacity to organize and prioritize multiple projects and deadlines simultaneously.
• Provide problem solving and reliability.
