About The Role
We're seeking a highly motivated and experienced Sr. IT Systems & Security Manager to drive the strategic enhancement and security of our technology infrastructure. This role is primarily focused on efficiency, integration, and continuous improvement, with a critical mandate to ensure our systems and practices meet rigorous cybersecurity and regulatory standards, particularly HIPAA.

What You Will Do
- IT Strategy, Vendor Management & Reporting
- Act as the strategic IT partner to the organization, continually evaluating and optimizing all tools and systems to maximize efficiency and support business goals.
- Oversee and manage our Managed Service Provider (MSP) and other key IT vendors, holding them accountable to SLAs, vetting new services, and ensuring quality delivery.
- Manage the budget for all IT systems and software licenses, identifying opportunities for cost savings and efficiency gains.
- Handle escalated IT issues and provide support on the ground as needed, ensuring comprehensive technical support for all employees.
- Automate aspects of IT processes and systems wherever possible, leveraging tools like Rippling for efficient user account provisioning/de-provisioning and access management.
- Implement and manage Single Sign-On (SSO) and MFA across all major applications to enhance security and user experience.
- Systems Optimization and Employee Enablement
- Research, evaluate, and recommend new technologies that can enhance organizational capabilities and efficiency.
- Project manage the organizational rollout of new tools and platforms, ensuring successful implementation, employee training, and adherence to security guidelines.
- Manage and optimize our core Google Workspace (G Suite) environment, ensuring seamless user experience, advanced security configurations, and effective utilization of collaboration tools.
- Lead projects focused on integrating disparate software applications and data sources to create seamless, automated workflows, with security as a priority in all integrations.
- Implement and manage data systems, ensuring organizational data is easily understood and available.
- Lead organization-wide knowledge management and data integrity efforts, ensuring systems and processes support long-term continuity.
- Establish best practices, standards, and training that promote effective knowledge sharing and optimal use of technology tools and applications.
- Work cross-functionally with teams to identify areas for improvement, bottlenecks, and develop solutions to improve workflows.
- Cybersecurity & Compliance Leadership
- Develop, implement, and enforce a robust cybersecurity strategy to protect Hively's assets and data.
- Lead and manage projects focused on security compliance, ie HIPAA, ensuring all systems handling client data meet current regulatory requirements.
- Work with the MSP and internal teams to implement security best practices (e.g., strong authentication, vulnerability management) during all system integration and optimization projects.
- Develop and regularly update security compliance policies and procedures to align with regulatory requirements and best practices.
- Design, implement, and track cybersecurity awareness training programs for all employees, ensuring high participation and effectiveness.
What You Should Bring
- Bachelor's degree in Information Technology, Computer Science, or a related field, or equivalent practical experience.
- 5+ years of experience in IT systems administration, IT management, or a related field, with at least 2 years in a management or strategic oversight role.
- Demonstrable experience working on HIPAA compliance projects or similar regulatory frameworks (e.g., SOC 2, ISO 27001).
- Proven track record of successfully implementing system integrations and optimization projects.
- Prior experience collaborating with an external MSP or IT vendor.
- Strong analytical and problem-solving skills, with the ability to map complex business processes and identify technological bottlenecks.
- Solid understanding of cybersecurity principles, risk management, and user training methodologies.
- Proficiency with various operating systems, cloud environments (e.g., AWS, Azure, Google Cloud), and enterprise applications.
- Demonstrated strong experience with Google Workspace (G Suite) administration, security, and enterprise configuration.
- Deep understanding and practical experience with HIPAA compliance and managing protected health information (PHI) in a cloud-based environment.
- Experience drafting or contributing to organizational security and compliance policies.
- Exceptional project management, vendor management, and communication skills, particularly the ability to communicate technical concepts to non-technical stakeholders.
- Experience in data management and governance, including:
- Comfort working with large data and info sets in spreadsheets and databases.
- Data schema development and management.
- Experience in systems design and architecture, including the ability to:
- Apply systems thinking tools and strategies to analyze and understand complex systems
- Implement Integrating/connecting solutions
- Strong communication of the above concepts effectively to non-technical staff
Preferred Skills, Knowledge and Expertise:
- Certifications such as ITIL, Lean Six Sigma, CompTIA Security+, CISA, or CISSP.
- Specific certification or training in HIPAA Security and Privacy Rules.
- Experience with scripting for automation (e.g., Python, PowerShell) and system security auditing tools.
$110,000 - $130,000 a year
Salary ranges are based on industry data, and final employment offer will be determined based upon factors including but not limited to an applicant's experience, specialized skills, and internal alignment.
- This role requires flexibility to travel to Hively offices across Alameda County as needed.
