Specialist Order Management I

The Specialist Order Management I will support the AVL Test Systems team by analyzing and providing detailed information to complete their orders from start to finish by heavily reviewing and managing data provided for each project supported. They will then work internally and directly with the customer to ensure the project continues smoothly. This position will require an individual who is able to multi-task and change gears quickly as required pending project/customer needs.

The Specialist Order Management I will primarily use Microsoft Office and SAP systems. The Specialist Order Management I will possess a degree or equivalent experience at minimum. In addition, candidates should possess proficient communication skills, detail orientation and a strong work ethic. Located in Plymouth, MI. This position will work a hybrid schedule that is primarily remote.

Applicants must be currently authorized to work in the United States on a full-time basis. Employer will not sponsor an applicant for a work visa for this position.

ROLES:

  • Input new customer orders into SAP for Spare Parts, Product, or Project orders as assigned.
  • Communicate and work with Sales Operations and Technical Sales Specialists groups to ensure smooth transition between receipt of customer PO, updates to the customer quotation, and uploads to SAP and Prism.
  • Maintain permanent customer order files (electronically, preferred) including purchase orders, purchase order acceptance forms, order confirmations, invoices, related communications, etc.
  • Monitor and perform tasks related to customer orders, may include:
  • Obtain any pertinent information from customer such as sales tax and freight information
  • Send order confirmation to customer, as requested
  • Release customer orders to logistics
  • Communicate with purchasing to issue purchase orders
  • Monitor delivery status and maintain invoicing schedule
  • Create delivery notes
  • Execute Sales Order Change Requests
  • Generate invoice or upload invoice to SharePoint site
  • Coordinate the close out of customer orders including: assistance with shipping documentation, communicating with shipping/receiving on deliveries, and ensuring all transactions including invoicing have been performed in SAP to complete the order. Work with customs team, to provide necessary documentation.
  • Back up and support Order Management team, as assigned
  • Other internal projects, as assigned

QUALIFICATIONS/SKILLS:

  • Associate Degree required; Bachelor's degree preferred
  • 0-3+ years of related experience
  • SAP experience preferred
  • Understanding of ERP/MRP systems
  • Strong organization and proficient communication skills
  • Ability to work in a fast-paced changing environment where multi-tasking is necessary
