Our Legal team is growing, and we are looking for a versatile Senior Executive Assistant (EA) to directly support our Vice President & Deputy General Counsel, Products & Technology and Senior Vice President & Deputy General Counsel, Global Legal Services.

About the Role

We're seeking a highly accomplished and proactive Senior Executive Assistant to provide critical support to our Vice President & Deputy General Counsel, Products & Technology and Senior Vice President & Deputy General Counsel, Global Legal Services.

This is an exceptional opportunity for an experienced professional who thrives in a fast-paced, people-first environment and excels at strategically managing complex calendars, orchestrating high-profile events, and delivering seamless administrative leadership.

This pivotal role demands a professional who is not only meticulously organized and profoundly discreet but also brings a positive, engaging presence. You'll be instrumental in ensuring our leadership team operates at peak productivity and our strategic initiatives progress without interruption, all while championing our deep commitment to our people!

Responsibilities:

  • Strategic Calendar & Time Management: Masterfully manage and optimize the intricate daily schedules for two legal leaders. You'll proactively implement calendar hygiene best practices and expertly navigate complex global time zones to orchestrate large-scale group meetings with precision and foresight.

  • High-Impact Event Leadership: Take the lead in coordinating with departmental Executive Assistants to conceptualize, plan, and execute high-stakes team offsite meetings, town halls, and critical team events. This includes spearheading our annual global Legal Summits, from recommending and securing premium venues to meticulously planning logistics and optimizing meeting flow for maximum impact. You'll also skillfully manage catering for a range of internal and external engagements.

  • Sophisticated Travel & Expense Oversight: Design and coordinate complex domestic and international travel itineraries, meticulously weighing all options and contingencies to guarantee a flawless and productive experience. You'll also efficiently process executive expense reports, ensuring meticulous adherence to budgetary guidelines.

  • Operational Excellence & Special Projects: Drive team swag projects from initial concept through to successful delivery, encompassing strategic budgeting, discerning selection, and precise purchase order management. You'll also serve as a key liaison with internal global groups, expertly coordinating efforts related to business technology enhancements, office relocations, meeting space optimization, workplace safety protocols, and logistical solutions.

  • Proactive Strategic Partnership: Consistently anticipate needs and proactively resolve complex issues with minimal direction, identifying and implementing solutions that optimize time and prevent potential disruptions. Your contributions will directly enhance executive productivity and strategic focus.

  • Building Influential Relationships & Discretion: Cultivate robust and positive relationships across the leaders' teams and with key internal and external partners. You'll expertly field incoming requests, exercising astute decision-making skills and unwavering discretion with highly confidential and sensitive information.

  • Agile Project Contributions: Provide high-level support on a diverse range of ad hoc projects, demonstrating adaptability and a commitment to achieving organizational objectives.

About You

Basic Qualifications

  • 10+ years of experience in executive support, including supporting leaders across different time zones (such as North America and Europe)

  • Experience with technology for executive support, including calendar management (e.g., Outlook) and virtual meeting platforms (e.g., Zoom, including presentation facilitation) as well as Google Drive, Word, Excel, PowerPoint

  • Demonstrated strong critical thinking skills and the ability to operate autonomously with minimal guidance

  • Adept at anticipating executive needs by understanding organizational priorities to optimize complex calendars and maximize time efficiency

  • Proven ability to manage highly sensitive information with exceptional discretion, sound judgment, confidentiality, and unwavering integrity

  • Excellent written and verbal communication skills

  • Possesses a growth mindset with a proactive approach to owning and leading ad-hoc projects

  • Thrives in a dynamic, fast-paced technology environment

Workday Pay Transparency Statement

The annualized base salary ranges for the primary location and any additional locations are listed below.  Workday pay ranges vary based on work location. As a part of the total compensation package, this role may be eligible for the Workday Bonus Plan or a role-specific commission/bonus, as well as annual refresh stock grants.

Each candidate’s compensation offer will be based on multiple factors including, but not limited to, geography, experience, skills, job duties, and business need, among other things. Primary Location Base Pay Range: $119,700 USD - $179,600 USD

Additional US Location(s) Base Pay Range: $108,300 USD - $192,400 USD
