The primary purpose of the position is to provide high level administrative and coordinating functions for the Division's regional museums and the Director of Regional History Museum's Office, reporting directly to the Director of Regional History Museums (DRHM). The administrative assistant organizes and manages workflow in the DRHM's office, serves as organizer for regional level functions and gatherings, tracks legal, contractual, and developmental projects, and undertakes a variety of special projects. Position also serves as an independent information-gatherer, preparing reports and studies to support the DRHM's needs. Position works independently. Works with the DRHM to review priorities, thereby aligning, assigning, and assisting with daily tasks. In addition, this position will support the Division Budget Officer on special projects. 

Key Responsibilities include but are not limited to:

  • Provide administrative support to Director of Regional History Museum Director and on occasion for the Division Budget Officer.
  • Arrange meetings and maintain the official records and correspondence for the office.
  • Responsible for the preparation of reports, studies, surveys and other material as needed for DRHM and the Division Budget Officer.
  • Distributes instructions and solicits planning materials to Site Managers. Organizes and compiles results and distributes final documents for implementation.
  • Insure that planning documents and Division policies are fully accessible to regional staff. Tracks projects from DRHM and support the Division Budget Officer on special projects.

Position/Physical Requirements:

  • Must be able to exert up to 20 pounds of force occasionally, up to 10 pounds force frequently, and a negligible amount of force constantly to move objects with or without reasonable accommodation.
  • Must be able to work Monday through Friday 8am - 5pm.
  • Ability to multi-task under stringent deadlines.
  • Ability to work as a member of a team to accomplish the objectives of the organization.

Management Prefers:

  • Demonstrated experience in performing a variety of progressively responsible clerical/administrative/office management tasks.
  • Demonstrated proficiency with Microsoft Office or comparable software program.
  • Demonstrated experience with setting agendas and/or taking minutes for meetings.
  • Demonstrated experience with scheduling and/or calendar management.
  • Demonstrated experience compiling and organizing both printed and electronic information; data collection, storage, organization, manipulation, dissemination and/or analysis of data.

High school diploma or General Educational Development (GED) diploma 

AND

four years of related administrative experience; 

OR

equivalent combination of education and experience.

The Budget and Finance Section of the North Museum of History monitors and reports all fiscal transactions related to the museum and its satellite museums across the state. This section ensures that the museum is adhering to all state, federal and local governmental financial policies, and procedures.
