Position Type: Full Time, Exempt
Hybrid Scheduled (2- 3 days on-site, as needed on a fixed schedule)
Location: Los Angeles (Must be within commutable distance to the office.)
Salary Range: $90,000.00 - $105,000.00 annually*

JOB SUMMARY
The Proposal Specialist is responsible for creating materials for proposals (including but not limited to client pitches, pitch decks and other materials used to grow client relationships), ensuring that work is completed in an efficient, consistent and professional manner. The Proposal Specialist will enable firm attorneys to respond to client requests in a compelling manner and liaises with attorneys in all offices. The Proposal Specialist supports driving and embedding process improvements in the proposal process firm-wide. The Proposal Specialist plays a key role in maintaining marketing content, organizing responses, tracking deadlines, and ensuring proposals align with the firm’s brand and strategic goals.
The Proposal Specialist supports the Proposal Manager and other senior business development team members with panel request for proposal (RFP) responses and a variety of other business development initiatives.
JOB FUNCTIONS

Prepare and project manage the delivery of proposals, pitches, other customized materials, and single practice area RFP responses (as assigned) from intake to submission, by liaising with attorneys and other business professionals to write and tailor proposals in accordance with the firm’s guidelines and client specifications.

Provide panel RFP response support as assigned.

Work with the Proposal Manager to monitor and maintain existing resources and knowledge management systems to streamline proposal efficiencies and ensure content and data is updated.

Work with team members to write, proactively maintain and enhance the firm’s experience records ensuring content is updated and relevant across marketing materials, including but not limited to the experience database, website, and submissions.

Collaborate with the Pricing team to provide complete and comprehensive pitches.

Manage internal and external deadlines, and communicate effectively with all contributing departments within the firm.

Capture, track, and report on proposal work using firm pipeline tool(s).

Support the Proposal Manager and other senior members of the Business Development and Marketing Department with a wide range of projects.

Handle project management tasks, such as keeping multiple attorneys and practice group teams organized and ensuring all teams meet provided deadlines.

Draft and edit content by gathering collateral from internal databases and numerous other Firm departments.

Project manage Chambers submissions, as assigned.

Create new and update existing attorney biographies, practice and industry descriptions and other firm content, ensuring alignment with firm branding and messaging.

MINIMUM JOB QUALIFICATIONS

Bachelor’s degree required.
-
4+ years of experience working in a proposal function, ideally within a law firm, consulting, or professional services environment.

Exceptional writing, editing and proofreading skills with ability to review final product for accuracy, neatness and thoroughness.

Strong organizational skills and attention to detail.

Ability to work under pressure and handle concurrent projects with competing deadlines.

Experience supporting projects that include multiple stakeholders.

Robust Microsoft Office skills required, including SharePoint, Dynamics, Teams, PowerPoint, Word and Excel.
