About the Job  
We are currently seeking a proposal coordinator who will assist in developing and delivering proposals that are accurate, complete, and compelling to the target audience. The proposal coordinator will have experience in graphic design, data visualization, and the creation of visually compelling marketing materials that tell a story and drive home complex concepts. The ideal candidate will possess the expertise to coordinate proposals from the initial request for proposal (RFP) phase through the development of structured outlines, integrating creative components to produce a visually attractive and coherent product. This role demands a keen eye for design and layout, to elevate our firm’s proposal submissions. A successful candidate will also have the ability to work collaboratively with marketing team members and/or external contractors to add or edit graphic elements to enhance the quality of proposals and other business development materials, when appropriate. 

This position may offer in-office, remote, or hybrid opportunities based on the candidate’s location and the needs of the organization.    

Responsibilities 
Your job functions will include, but not be limited to: 

Proposal Preparation 

  • Interpret RFPs and requests for qualifications (RFQs) and collaborate with technical and marketing staff to develop compliance matrices, outlines, timelines, and response plans.
  • Lead proposal kickoff meetings, track action items, and keep multiple concurrent proposal efforts moving forward with clarity and efficiency.
  • Manage inputs from multiple contributors and ensure content is consistent, accurate, and aligned with win themes.
  • Write original proposal content when needed, particularly when materials are not available in the content library.
  • Contribute to strategy sessions to refine key messages and differentiators based on client needs and project goals.
  • Coordinate proposal production including internal reviews, formatting, and final submittal—digital and/or print. 

Graphic Design and Visual Layout  

  • Design polished, brand-aligned proposal documents with Adobe® InDesign and other Creative Suite tools.
  • Develop compelling layouts, infographics, and visuals that optimize the readability and impact of technical information.
  • Ensure visual consistency across proposals, presentations, and supporting materials.
  • Support interview preparation and visual design for follow-up materials and meetings.
  • Contribute to the content library and knowledge management system
  • Maintain and evolve proposal templates, project descriptions, boilerplate text, and resumes in the firm’s content library and customer relationship management system.
  • Identify gaps in existing material and proactively develop new content that aligns with market strategy and service offerings.
  • Assist with tracking metrics, debriefs, and insights from past proposals to improve future pursuits. 

Qualifications 
Candidates should hold a bachelor’s degree or equivalent experience in a marketing professional services environment for engineering, architecture, or construction (AEC), or related equivalent.  

The ideal candidate will have: 

  • 3+ years of proposal or grant writing, marketing, or communications experience
  • A natural curiosity for science, the environment, and how complex ideas can be turned into compelling stories
  • Strong working knowledge of Adobe® Create Suite, especially InDesign and Illustrator.
  • Proficiency in graphic design.  
  • Understanding and experience with the RFQ/RFP process.  
  • Strong organization skills with exceptional attention to detail, and excellent technical writing skills  
  • Ability to maintain a strong sense of focus and confidence under tight deadlines and varying workloads.
  • Excellent written and oral communication skills
  • A desire to grow both intellectually and professionally
  • Strong organizational abilities
  • Ability to work both independently and within a multidisciplinary team of scientists and engineers 

Salary Range: $31.25 to $38.50/hour 

An employee’s total compensation package includes annual salary, company-subsidized (employee and family) medical, dental, and vision insurance, 401(k) participation with a company match of 1% to 4% of annual compensation, company-paid life and short- and long-term disability insurance, annual paid sick leave (10 days), paid vacation (10 days), paid holidays (9 days) per year, and the potential for an annual discretionary bonus based on company performance. Paid time off will be prorated to reflect part-time scheduled hours, if applicable.
