Job Title: Program Assistant

Job Summary:

CASES is seeking a Program Assistant that will be reporting to the Team Leader/Clinical Supervisor, the Program Assistant provides a wide range of administrative duties to support departmental program operations. The Program Assistant will interact with program directors and staff, executive staff, government officials, researchers, consumers, and service providers. The ideal candidate will have exceptional organizational skills and attention to detail; strong social and communication skills; a good sense of humor; an interest in skill development; and a tolerance for ambiguity that allows him/her to excel in a fast-paced, deadline-driven work environment at a growing agency.

 

CASES is a New York City agency at the forefront of the intersection between behavioral health and the criminal justice system. Our mission is to increase public safety through innovative services that reduce crime and incarceration, improve behavioral health, promote recovery and rehabilitation, and create opportunities for success in the community. CASES’ Health Home Plus Care Management (HHCM) Team/Forensic Homeless Intensive Case Management (ICM), located in Central Harlem, are intensive Medicaid/Grant funded services for adults diagnosed with a serious mental illness (SMI) who may benefit from enhanced support because of high needs, disengagement from care, and/or poor outcomes (e.g., multiple hospitalizations, incarceration, and homelessness).
 

Salary: The salary for this role is $47,741 per year.

Shift Hours: The Program Assistant is full-time position working Monday – Friday from 9:00am – 5:00pm.

Location Address:  2090 Adam Clayton Blvd Jr, 4th Floor, NY, New York 10027. Our office is easily accessible by public transportation.

Workplace Flexibility: Hybrid (for roles that have at least 1 day remote).


 

What You Will Be Doing:

  • Coordinate day-to-day administrative activities based on Senior director’s guidance and goals; initiate action on day-to-day matters not specifically requiring the action of the senior director.
  • Assist in gathering, preparing and dissemination of information to supervisors and staff relating to the administration and management of the Health Home Plus and Forensic Homeless ICM services units.
  • Work collaboratively with key staff in central administration, information services, fiscal, development, and the Court Services and Education, Career and Enrichment units to support the operations and management of the Health Home Plus and Forensic Homeless ICM services units.
  • Schedule and coordinate conference calls, interviews, meetings, and trainings. 
  • Manage departmental information and materials (e.g., staff rosters, policy manuals).
  • Facilitate requests from the Health Home Plus and Forensic Homeless ICM services units to support services (e.g., human resources, information services, facilities).
  • Process referrals to the Health Home Plus and Forensic Homeless ICM team while keeping a record of each referral.
  • Ability to quickly learn electronic databases to access information and use project management software and data visualization tools.
  • Process fiscal documents (e.g., invoices, check requests, credit card expenditure forms).
  • Other duties, as assigned by the Team Leader/Clinical Supervisor or agency executive staff.

  • Ability to manage multiple activities and prioritize appropriately
  • Excellent production skills for reports in readable formats
  • Demonstrated ability to be a team player
  • Commitment to social justice
  • Ability to navigate multiple electronic health record systems
  • Proficiency in Microsoft Office Suite (especially Excel) and other products

Preferred Skills:

  • Associate degree or higher
  • Previous administrative experience
  • Data analytic and project management skills
