Post Closing Intake Specialist

This is a contract, limited-term position.

Are you a highly organized and detail-oriented professional with a knack for timely communication and problem-solving? Do you thrive in a fast-paced environment and excel at managing multiple priorities?

We are seeking a Post-Closing Intake Specialist to serve as a critical link between our funded loan pipeline and various internal and external post-closing teams. In this essential role, you will be responsible for overseeing the post-closing intake process, ensuring that all outstanding loan conditions are tracked, assigned, and resolved promptly to facilitate the final purchase of loans by investors.

What You Will Do:

As the central point for post-closing documentation and communication, you will:

  • Direct and assign all incoming internal and external suspense items across multiple lines of business based on source, type, and loan phase.

  • Monitor and manage the dedicated Post-Closing Intake shared mailbox, serving as the first responder for all inquiries and communications. Triage, resolve, and escalate requests accurately and quickly to the appropriate teams.

  • Track and communicate loan deficiency conditions received from multiple sources, including internal reports, email, and manual retrieval from investor websites and portals.

  • Proactively monitor the funded pipeline for loans that have been delivered to investors but not yet suspended.

  • Engage with external partners (e.g., HFAs, servicers, investors) to obtain up-to-date review status and condition reports.

  • Generate and distribute key performance reports for leadership, including investor review turn times, weekly pipeline status, and monthly purchase/suspense reports.

  • Maintain data integrity by accurately updating the System of Record (e.g., Encompass) with relevant notes, status changes, and dates.

What You Will Bring:

  • 1+ year of related experience, preferably within the mortgage or financial services industry.

  • Proven ability to thrive in a fast-paced, high-volume, and constantly changing environment.

  • Demonstrated experience in analyzing and interpreting data to make informed decisions.

  • Excellent ability to effectively manage relationships and communicate clearly with both internal teams and external business partners.

  • Proficiency in Microsoft Excel, including the ability to utilize functions like pivot tables and VLOOKUPs.

  • Strong customer service and interpersonal skills.
