What You’ll Do as a Payroll/AP Specialist
Payroll Operations (Primary Focus | ~70%)

Own full-cycle payroll processing for multi-state employees and international contractors (hourly, salaried, bonuses, commissions).

Ensure compliance with federal, state, and local payroll and tax regulations.

Review and audit timecards, PTO, overtime, reimbursements, retro pay, and deductions.

Maintain accurate payroll records, including employee changes, tax updates, benefits deductions, and garnishments.

Reconcile payroll-related general ledger accounts and support month-end close.

Lead year-end payroll activities including W-2s, payroll tax filings, and ACA reporting.

Serve as the internal payroll subject-matter expert—troubleshooting issues and partnering cross-functionally to improve systems and processes.

Provide high-quality support to employees by responding to payroll-related inquiries with professionalism and care.
Accounts Payable (Secondary Focus | ~30%)

Process vendor invoices, purchase orders, credit memos, and employee expense reimbursements.

Ensure proper coding, approvals, and adherence to internal controls.

Prepare and manage weekly payment runs (ACH, checks, wires).

Maintain vendor records, W-9s, and supporting documentation.

Assist with 1099 preparation and year-end AP activities.

Reconcile vendor statements and investigate discrepancies.

Administer corporate card programs and support expense management processes.
What We’re Looking For in Payroll/AP Specialist Candidates:

4+ years of payroll experience, including multi-state payroll processing.
- Strong working knowledge of payroll laws and regulations (FLSA, state wage laws, multi-state taxation).

Proficiency with payroll/HRIS and accounting systems.

Advanced Excel skills (VLOOKUP, pivot tables, data analysis).

Exceptional attention to detail, accuracy, and confidentiality.

Strong communication, customer service, and problem-solving skills.

Payroll/AP Specialist applicants must be able to pass a criminal background check.
