Work Location: Remote in Clark County, Nevada 
Short Description/Overview: This position is responsible for maintaining relationships with incoming referral sources, ensuring that all new patients are seen timely and provided with the information for the initial consultation. 

Essential Job Duties & Responsibilities:

Processing New Patient Referrals

  • Receive new patient referral from location folder (Located in Centralized New Patient Referrals in faxes folder) or in other platforms like Microsoft Teams or Sharepoint
  • Verify if patient has been seen within the last 3 years, if the patient has been seen within the last three years then the patient is NOT a New Patient.
  • Create patients' chart, adding demos and insurance information, PCP and Referring MD.
  • Ensures authorization is received if needed.
  • Enter new patient referral using "referral entry"
  • Apply Template for incoming referrals
  • Upload all documents individually into Media Manager for staff/provider convenience. 
  • Requests any additional information needed from referring provider if not in the patient’s chart, such as progress notes, labs, radiology, etc.
  • Work with clinic staff, Clinic Manager, and MD as needed to appropriately schedule the patient

Scheduling Appointments

  • Call the patient to schedule the appointment
  • Once appointment is scheduled, provide the patient an overview of what to expect on their first visit and send their appointment reminder via Doximity
  • Ensure patient is setup with MyChart
  • Walk the patient through the Telehealth Process for virtual visits
  • Monitor “no shows” for appointments and work to reschedule
  • Expect to take 15 - 20 calls per workday

Required Qualifications:

  • High School Diploma or equivalent  
  • Medical Assistant Certification; 3 years’ experience may be substituted for certification 
  • 3+ years of both front and back office medical assistant clinical experience
  • Experience verifying eligibility and requesting/obtaining authorizations, preferably in a high-volume environment is highly preferred.  
  • Ability to distinguish between primary and secondary payers and identify insurance products  
  • Advanced understanding of and experience dealing with various types of insurance, e.g., HMOs, PPOs, IPAs, POSs, EPOs, Medicare, Medi-Cal   
  • Thorough understanding of the referral and authorization process  
  • Strong computer skills including EMR experience   
  • Must be located in Clark County, Nevada. 
  • Experience using EPIC  
  • Bilingual in Spanish

Pay Range: $21.00/hour and up, depending on experience

Physical Demands

Physical requirements may vary slightly and should be reviewed with your manager. In general, this position requires the ability to lift up to 35 pounds unassisted; ability to stand for extended periods of time and to perform repetitive stooping, walking, stretching, reaching and some sitting; ability to use full range of body motions required to lift patients, wear a lead apron, and lift and move supplies. Must be able to safely ascend and descend stairs as a core part of the job, with or without reasonable accommodation, when no elevator or lift is present.

Work Environment

Job required tasks routinely involve a potential for mucous membrane or skin contact with blood, body fluids, tissues or potential spills or splashes. Use of appropriate personal protection measures is required for every healthcare provider in these positions. Require to routinely use standard office equipment such as laptop, computer, mouse, and photocopier.

About Balboa United

Beginning in 1973, Balboa has grown from two physicians to a comprehensive nephrology team of 52 board certified physicians and 8 advanced practitioners. On January 1, 2018, Balboa Nephrology Medical Group (BNMG) launched Balboa United, a full-service medical practice management services organization. From one small office, BNMG now has 24 clinical offices throughout San Diego, Imperial, Orange and Riverside counties. In addition to office and hospital-based patient care, Balboa physicians manage the dialysis treatments of approximately 4,500 patients at 88 dialysis centers and conduct Nephrology based clinical research at 6 centers throughout Imperial and San Diego counties (California Institute of Renal Research).
