Location: Evanston, Illinois
This position is designated as Hybrid - Fully Flexible and expected to work from our World Headquarters office once per month to several times a week. The specific days in the office are determined by managers based on business requirements. Rotary is under the jurisdiction of Illinois employment laws; we require all employees to live within reasonable daily commuting distance to Evanston.

Position Overview
The Membership Specialist supports the Membership Growth & Engagement team, responsible for growing Rotary membership through attraction, engagement, and new club development at Rotary International. You will have the opportunity to support and coordinate the activities related to the organization's top priority. Your contribution will serve to expand Rotary's reach and enhance participant engagement.
You Will Have
- Bachelor's degree or 3-5 years' work experience required. Non-profit association, administrative support, office management, membership or related field strongly preferred.
- Proficiency with Microsoft Outlook, Word, Excel, and Power Point required.
- Non-English language skills or cross-cultural experience is helpful.
- Working knowledge of association management (NetForum, Salesforce et.), virtual meetings (Zoom, Teams etc.), and email broadcast software (Adestra etc.) a plus.
- Willingness and ability to travel

You Will Be Responsible For
Meetings and Travel Logistics
- Providing planning and logistical oversight and support to staff and committee meetings, including development of advanced memoranda, virtual and on-site support and preparation of meeting minutes.
- Working with the Rotary International Travel Service to complete member travel requests for committee meetings and regional membership initiatives.
Budget Activity
- Serving as the liaison with the Finance department to review, approve and track all expense statements submitted under the operating budgets and regional membership initiatives.
- Assisting with the yearly district governor (DG) budget preparation, expense forecasting and actual expenditures.
- Overseeing district membership chair financial reimbursement program and other volunteer expenditures and reimbursements according to established policies and guidelines.
- Assisting in development of annual Membership Growth & Engagement and Member Experience departmental budgets.
- Uploading and/or inputting budgets into Rotary's budget software.
- Communicating budget detail to senior Rotary leaders and monitoring regions' allocations.
- Overseeing volunteer expenditures and reimbursement according to established policies and guidelines.
- Reviewing monthly budget reports, identifying and explaining variances, and handling budget corrections and reclassifications as needed.
- Overseeing accrual process for department and all regional membership initiatives' year-end expenses.
Communications
- Monitoring and maintaining a high volume of communications with Rotary members, including but not limited to interactions with RI Board members and other senior Rotary leaders.
- Developing, deploying and evaluating a variety of broadcast email communications that support regional membership initiatives, including annual and ad hoc communications to Rotary leaders and members.
- Managing the general email inboxes for Membership Growth & Engagement and providing timely responses and/or escalating issues as needed.
- Managing and maintaining the Membership Growth & Club Experience staff portal page and department manual, ensuring content is accurate and up to date.
- Preparing membership and club experience reports, talking points, speeches and presentations for staff and volunteer use.
Administration
- Managing office supplies, publication inventory, and promotional item orders within annual budget.
- Assisting with targeted membership mailings as scheduled.
- Providing administrative and special project support across teams including, but not limited to, standard responses and report requests, data entry, data quality, data redaction, and records management.
- Managing annual updates for Zone Maps, Zones and Their Districts, US Clubs and the IRS, District Governor Selection Guidelines and Timeline, etc.
- Other duties as assigned.
