As an IT Hardware Asset Management Administrator, you will play a crucial role in overseeing and optimizing the organization's IT hardware assets. Your primary responsibility will be to manage the end-to-end lifecycle of hardware assets using ServiceNow HAM Professional, ensuring efficient utilization, cost-effectiveness and compliance with organizational policies and industry regulations by providing accurate asset tracking and operational efficiency across the organization. The ideal candidate will have experience with ServiceNow Hardware Asset Management Professional (HAM Pro) and a strong understanding of ITIL and ITAM best practices.

What you’ll do:
Asset Lifecycle Management:
- Develop and implement strategies for the acquisition, receipt, deployment, maintenance, redeployment, and retirement of IT hardware assets, including familiarity with ITAD standards/compliance and EOL documentation.
- Maintain accurate records in ServiceNow HAM Pro of hardware inventory, including details such as serial numbers, specifications, assignment data and locations.
- Configure and maintain the HAM Pro module, workflows, asset classes, models, and integrations.
- Troubleshoot data discrepancies and perform regular data quality checks.
Procurement and Vendor Management:
- Collaborate with procurement teams to source hardware equipment, negotiate favorable contracts, and ensure cost-effective purchasing.
- Manage relationships with hardware vendors to stay informed about product roadmaps, updates, and industry trends.
- Track vendor performance, warranties and service level agreements (SLAs) by partnering with Procurement
- Reconcile purchase orders from Finance/Procurement with received assets and update asset records accordingly.
Asset Tracking and Monitoring:
- Implement and maintain a comprehensive asset tracking process to monitor the movement and status of hardware assets.
- Ensure real-time visibility of hardware assets using ServiceNow Discovery and other integrations (Intune and Jamf).
- Manage secure disposal of hardware assets in accordance with regulatory standards.
- Work with external stockroom vendor(s) to manage stockrooms, asset transfers, repairs, warranty repairs/replacements and check in/out processes.
- Manage relationships with hardware vendors and depot providers, including compliance with SLAs and disposal certifications.
- Conduct regular audits to verify the accuracy of asset records and identify discrepancies.
Compliance and Security:
- Ensure hardware assets comply with organizational policies, licensing agreements, industry standards, and regulatory requirements.
- Collaborate with security teams to implement measures that safeguard hardware assets against unauthorized access and potential threats.
Optimization and Cost Management:
- Analyze hardware utilization and recommend optimizations to maximize efficiency and reduce spend.
- Work towards minimizing costs by identifying opportunities for consolidation, standardization and re-allocation of assets.
- Provide insights supporting budgeting and forecasting.
Documentation and Reporting:
- Generate and maintain comprehensive documentation related to hardware asset management processes and procedures.
- Provide regular reports and analysis to relevant stakeholders on the status, performance, and financial aspects of hardware assets.
Collaboration and Training:
- Collaborate with IT teams, including support, operations and security, to align hardware asset management with broader IT objectives.
- Develop ServiceNow dashboards and reports for relevant stakeholders
- Act as the Subject Matter Expert (SME) for ServiceNow HAM Pro
- Conduct training sessions for IT staff and end users on proper asset handling, tracking procedures, HAM Pro workflows/best practices and compliance guidelines.
This might describe you:
- Proven 3-5 years experience in IT hardware asset management, procurement, and vendor management.
- Strong knowledge of hardware components, specifications, and industry trends.
- Familiarity with ServiceNow asset management tools and systems with preferred knowledge and usage of Hardware Asset Management Professional (HAM Pro).
- Strong understanding of ITIL and ITAM frameworks
- Ability to track KPIs and SLAs related to ITAM performance
- Additional preferred experience with ServiceNow: CMDB, Discovery, SAM Pro and Procurement.
- Experience with regulatory frameworks such as ISO 27001, NIST, etc.
- Preferred familiarity with ITAM integrations such as Microsoft Intune and Jamf.
- Effective communication, documentation, and interpersonal skills.
- Bachelor's degree in information technology, Business Administration, or related field.
- Excellent analytical and problem-solving skills.
Certifications (Preferred):
- Certified Asset Management Professional (CAMP)
- Certified Hardware Asset Management Professional (CHAMP)
- ServiceNow certifications or badges
