Position Overview:
The Health Information Management (HIM) Assistant is responsible for managing and organizing health information in an electronic health record (EHR) system. The role involves scanning, indexing, and uploading incoming documents to patient records, ensuring that all health records are accurately maintained and accessible for healthcare providers.
What you'll do:
- Scanning and Indexing:
- Scan physical documents, forms, and medical records into the Epic EHR system.
- Ensure that all scanned documents are clear, legible, and appropriately indexed.
- Review documents for completeness and accuracy before uploading to patient records.
- Uploading and Managing Documents:
- Upload scanned documents to the correct patient record within the Epic system.
- Maintain and organize patient records by accurately filing incoming documents and ensuring proper indexing for easy retrieval.
- Quality Control:
- Verify the accuracy and completeness of the uploaded documents.
- Ensure all documents are correctly linked to the corresponding patient record.
- Conduct periodic reviews of records to ensure compliance with regulatory standards and hospital policies.
- Collaboration and Communication:
- Collaborate with other HIM staff and healthcare providers to ensure timely and accurate processing of health records.
- Respond to inquiries from medical staff regarding missing or misplaced documents.
- Confidentiality and Security:
- Adhere to HIPAA (Health Insurance Portability and Accountability Act) regulations and maintain patient confidentiality at all times.
- Ensure the security of electronic and paper health records in compliance with organizational policies and procedures.
- Other Duties:
- Assist with general administrative duties as needed, such as filing, organizing, and retrieving health records.
- Support the HIM department in ensuring smooth operations and compliance with health information management best practices.
Minimum Qualifications:
- High school diploma or equivalent; associate degree or certification in Health Information Management (HIM) preferred.
- Experience working with Epic EHR or other electronic health record systems is a plus.
- Strong attention to detail and ability to work independently.
- Familiarity with medical terminology and healthcare documentation practices.
- Knowledge of HIPAA regulations and patient confidentiality standards.
- Proficiency in Microsoft Office Suite (Excel, Word, etc.) and other relevant software.
Preferred Qualifications:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Ability to maintain a high level of accuracy and attention to detail.
- Capable of working in a fast-paced environment with minimal supervision.
