Role Mandate
The mandate of this Executive Assistant is to deliver elite-level executive and personal support to the CEO while operating at 60–70% of traditional time input by leveraging AI, automation, and systems design.

This role is not about doing more for the sake of efficiency. It’s about building and refining intelligent systems that reduce manual work, enhance clarity, and anticipate needs—so that even at reduced hours, the quality of service exceeds that of a traditional full-time EA. You are the architect of an upgraded executive function that feels lighter, faster, and smarter, without sacrificing warmth or excellence.

To achieve this, the Executive Assistant will:

  • Own traditional EA responsibilities (calendar, travel, email, meeting prep, logistics, personal errands).
  • Continuously optimize those responsibilities through repeatable processes, strategic automation, and AI deployment.
  • Serve as a systems integrator and productivity partner, always asking: “How can this be done better, faster, or less manually?”
  • Drive anticipatory support by using data, AI tools, and deep context to stay ahead of the CEO’s needs—even when unspoken.

Deliver the emotional and logistical lift the CEO needs to thrive in her Visionary/Desire Zone, while minimizing overwhelm and decision fatigue.

 


Requirements

 

 

This role exists to provide exceptional executive and personal support to the CEO, Megan Hyatt Miller, in a modern, high-impact format. The Executive Assistant (EA) will combine classic EA mastery with modern systems thinking and AI-forward innovation. This is a local-only, hybrid role averaging ~20–25 hours per week with the expectation of delivering 40+ hours of impact through strategic use of tools, systems, and proactive planning.

 

The mandate: Identify, template, and automate every repeatable task to achieve 30–40% time savings while elevating service, organization, and execution excellence. This assistant will be an integrator, optimizer, and right-hand partner to a visionary CEO.

Key Responsibilities

1. Executive & Personal Logistics Mastery

  • Manage complex professional + personal calendars
  • Coordinate travel with full itinerary planning
  • Prep CEO for all meetings with relevant briefs, summaries, and agendas
  • Handle inbox triage, response drafting, and communication delegation
  • Schedule, organize, and follow-up on internal and external meetings
  • Support lunch/snack runs, personal errands, and appointment scheduling
  • Anticipate needs and proactively prepare for events, meetings, and obligations

2. Systems Creation & Automation Oversight

  • Identify all recurring workflows and design scalable, documented systems
  • Build reusable templates for emails, briefs, checklists, SOPs, reminders, etc.
  • Integrate AI tools (e.g., ChatGPT, email triage assistants, scheduling automation) to reduce manual tasks
  • Collaborate with CEO and team to refine systems for clarity and simplicity
  • Propose and test automations (no-code tools, Zapier, calendar bots, etc.)
  • Maintain a shared "Executive Ops Manual" for continuity and delegation

3. Task & Project Execution Partner

  • Track open loops and deliverables for the CEO using simple, effective tools (e.g., Asana, Notion)
  • Create and manage lightweight project plans for CEO-owned initiatives
  • Follow up on delegated tasks with gentle persistence to ensure nothing falls through
  • Document processes and decisions from meetings; act as a continuity point

4. Communication & Gatekeeping

  • Draft and edit communications that reflect CEO tone and brand
  • Act as liaison between CEO and team, vendors, clients, or public
  • Protect CEO’s focus through thoughtful triage and boundary-keeping
  • Maintain discretion and confidentiality with sensitive information

5. In-Person Presence & On-the-Ground Support

  • Work from CEO’s home office or Franklin office 2–3x per week
  • Staff local events, speaking engagements, or VIP dinners as needed
  • Handle on-site logistics, client hospitality, or "last-mile" execution support

Success Criteria

  • CEO’s calendar, email, and tasks are friction-free, optimized, and error-free
  • Repeatable tasks are systematized and/or AI-assisted within 90 days
  • No task or deliverable assigned to the CEO falls through the cracks
  • CEO reports a felt reduction in mental load and logistical stress
  • Time investment remains 20–25 hours/week with full EA function delivered

Ideal Candidate Profile

Must-Haves

  • Nashville-local, able to provide in-person support multiple days/week
  • 3+ years of experience in high-level executive or personal assistant roles
  • Demonstrated success building systems and process documentation
  • Tech-forward mindset; quick to learn new AI and automation tools
  • Strong writing/editing skills with excellent attention to detail
  • High integrity, emotional intelligence, and anticipation skills
  • Able to work independently, juggle priorities, and adjust on the fly

Bonus (But Not Required)

  • Prior use of ChatGPT, Notion, Asana, Zapier, or other no-code tools
  • Familiarity with CliftonStrengths, Enneagram, Kolbe, or Working Genius
  • Experience supporting an INFJ or high-D/high-I leader

This is a full-time, salaried position that reports to our CEO. This position is eligible for our industry-leading benefits package, including premium health care (we cover 100% of your premium and 50% of your dependents’), generous PTO, a tiered bonus incentive plan, and paid maternity and paternity leave, among other stellar perks.

 

Employees are expected to work synchronously from 9-3 pm CT, Monday through Friday, and whatever additional hours are necessary to achieve the outcomes they are responsible for. We are simultaneously committed to delivering the operating results we are committed to together while also having the margin we need for our health and most important relationships. To that end, we allow flexibility to pick up children from school, attend to personal matters or appointments, etc. so long as you complete your work and communicate with your supervisor about it in advance.
