We are currently seeking an Executive Assistant - Business Affairs to join our Business Affairs team based in our Santa Monica, California Location.
JOB RESPONSIBILITIES
- Supporting the head of business affairs and two other business affairs executives by managing their calendars, scheduling meetings, screening and prioritizing all incoming phone calls, meeting requests, ordering supplies, coordinating travel, managing and tracking expense reports and coordinating department off-sites and events
- Managing meeting set-up, and follow-up: booking rooms, test and set up all IT needs, arranging catering, documenting notes as needed, and coordinating follow-up items to completion
- Attending staff meetings, participate as needed, and follow through as necessary
- Coordinating with IT, facilities, creative, production, finance, marketing and other internal departments
- Assisting with any special projects as needed
QUALIFICATIONS (Required & Preferred)
- Bachelor's degree
- 5-7 years of relevant work experience
- Able to communicate with professionalism with all levels of executives, management, and staff, including high-level entertainment industry agents, attorneys and TV studio personnel
- Self-motivated, highly organized and excellent follow-through
- Ability to prioritize and manage multiple projects and tasks with a high level of detail and accuracy
- Must be innovative, solutions-oriented and efficient
- A team player with strong work ethic
- Demonstrated ability to partner well with others and build strong, effective relationships
- Strong writing and communication skills
- Proficiency with Microsoft Office Suite (e.g., Word, Outlook, Excel, PowerPoint)
- Must be willing to work in Santa Monica, California
- Must have work authorization to work in the United States
The base compensation range for this position is $60,000 to $75,000 commensurate with experience.
