As Panopto continues to grow and scale, we’re seeking a high-impact Executive Assistant to support our Chief Executive Officer (CEO) and Chief Revenue Officer (CRO). This is a unique opportunity to partner directly with two of our most senior leaders and play a pivotal role in driving focus, alignment, and operational excellence at the highest level of the organization. We’re seeking a high-performing Executive Assistant to support Panopto’s CEO and CRO. The right candidate has experience supporting C-level executives, ideally a CEO, President or C-Level, who thrives in fast-paced, high-accountability environments, and deeply strategic role supporting two senior executives focused on disciplined execution, customer value, and business growth. Success in this role requires strong attention to detail, excellent time management, and a results-driven mindset. A successful candidate would be meticulous, precision-driven, proactive, and capable of anticipating the needs and thrives on staying three steps ahead. This role requires someone who thinks like an operator, is emotionally intelligent, and understands how to proactively enable the success of a strategic, thoughtful leader.
You will act as a trusted right hand—owning calendars, inboxes, travel logistics, and executive preparation, while maintaining absolute discretion and control of sensitive and high-priority information. This role is fully remote, however candidates must reside in the Eastern Time Zone (any U.S. state) to support the early and fast-paced schedules of both executives.
In this role you will...
Work you’ll do:

- Executive Calendar Command: Take full ownership of the CEO and CRO’s calendars, scheduling with intention, anticipating conflicts, and building in the breathing room they need to think and lead. Prioritize ruthlessly to ensure the right conversations happen at the right time.
- Inbox & Communication Flow: Act as an extension of the CEO and CRO by drafting, editing, and managing high-level communications with clarity and professionalism. You’ll be the primary point of contact for internal and external stakeholders, keeping conversations moving and priorities aligned.
- Executive External Meeting Coordination: For any external meetings involving a customer, partner, or key stakeholder, you’ll coordinate closely with the internal relationship owner. Whether it’s Sales, Partnerships, or another team, you’ll align on the purpose, timing, and context of the meeting. You’ll lead the full scheduling and logistics process—confirming availability with both parties, coordinating travel if needed, and ensuring all stakeholders are aligned. You’ll also schedule prep meetings 1–2 weeks in advance of the engagement, ensuring the CEO and CRO have all necessary context: the background, key dynamics, opportunities, and risks. You’ll track down and organize briefing materials—typically shared via email for visibility and ensure they’re attached to the calendar invite with clear, actionable notes. The goal of the EA is simple: to make sure the CEO & CRO walk into every external interaction fully prepared and confident.
- Travel with Precision: Coordinate complex domestic and international travel with foresight and detail, including flights, hotels, ground transportation, visa logistics, and boarding preferences. Ensure travel runs smoothly and follow through with timely, accurate expense reporting.
- Meeting & Prep Powerhouse: Own the rhythm of executive meetings—from internal prep to agenda creation, document curation, and post-meeting follow-through. Whether it’s a 1:1, board prep, or cross-functional leadership session, you’ll ensure the CEO and CRO show up fully prepared.
- Operational Support: Support special projects, track action items, and help pull together key materials and data for executive presentations or reports. Stay grounded in company processes and step in wherever needed to ensure momentum doesn’t slow.
- Proactive Problem Solver: Address daily questions, needs, and blockers with confidence and independence—escalating only when necessary. Your judgment, responsiveness, and initiative will make you an indispensable partner.
How You’ll Do it:

- Serve as a trusted partner and operational backbone for the CEO and CRO.
- Own and optimize two fast-moving executive calendars—ensuring strategic alignment, internal prep time, and work-life balance.
- Manage executive inboxes, triage communication, follow up on action items, and prepare responses when needed.
- Proactively prepare both executives for internal and external meetings—briefings, agendas, background documents, prep meetings.
- Coordinate complex travel for domestic and international trips, including airline preferences and pre-boarding status needs.
- Draft and manage post-meeting communication with clarity and precision, surfacing action items and deadlines.
- Communicate via Slack for immediate needs; summarize key business updates and requests via email.
- Anticipate needs before they arise and take initiative to solve problems independently.
- Create structure and support systems to ensure both leaders can operate in a focused, effective, and energized way.
- Maintain utmost confidentiality and judgment across all responsibilities.
Required Qualifications:

- Bachelor’s degree or equivalent experience.
- 5+ years of experience supporting senior executives, preferably including both CEO- and CRO-level leadership. At least three years of C-Level administrative experience.
- Highly organized, self-driven, and reliable with a "no-task-too-small" mindset.
- Experience in high-growth, dynamic environments, ideally SaaS or technology companies.
- Mastery of executive communication—calm, crisp, and to the point.
- Comfortable balancing competing priorities and maintaining calm under pressure.
- High proficiency with productivity tools: Expense platforms, Slack, Zoom, and travel coordination platforms.
- Must be located in a U.S. state aligned with the Eastern Time Zone.
- Proficiency in Google Workspace, MS Office Suite (Word, Excel, PowerPoint, SharePoint), and other office software.
- Excellent organizational and time management skills.
- Strong communication and interpersonal abilities.
- Ability to handle confidential information with discretion and professionalism.
- Detail-oriented, proactive, and able to work independently.
- Ability to prioritize and handle multiple assignments at any time while maintaining commitment to deadlines.
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
- Prior experience in a fast-paced software technology company is a plus!
$100,000 - $110,000 a year
Total Rewards:
The salary range for this position is $100,000 - $110,000 USD per year. This position is also eligible for a bonus as part of the compensation package.
Base pay offered may vary reliant on various factors, including, but not limited to: job-related knowledge, skills, experience, and other eligibility factors such as geographic location.
