Job Description:
The National Multiple Sclerosis Society mobilizes people and resources to drive research for a cure and to address the challenges of everyone affected by MS. To fulfill this mission, the Society funds cutting-edge research, drives change through advocacy, facilitates professional education, collaborates with MS organizations around the world, and provides programs and services designed to help people with MS and their families move their lives forward. We partner with volunteers to accomplish our work. Staff members engage volunteers through effective and timely communications, facilitating meaningful opportunities, and continually seeking and providing feedback for reciprocal growth and learning.
The Executive Assistant supports the Chief Executive Officer and Executive Leadership Team. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant will serve as a key liaison, ensuring seamless coordination of executive operations, meetings and events.
Responsibilities:
Executive Support:
- Provide high-level administrative support to the CEO and senior executives.
- Manage complex calendars, prioritize appointments, and coordinate internal and external meetings.
- Prepare and edit correspondence, communications, presentations and other documents.
Meeting & Event Management:
- Serve as the meeting manager for the Executive Leadership Team and Board of Directors, overseeing logistics for board meetings, leadership team meetings and other key events.
- Act as the main point of contact for hotel sourcing firms, caterers and contracted event/meeting support vendors.
Travel Coordination:
- Arrange complex domestic and international travel itineraries, including flights, accommodations, ground transportation and travel documentation.
- Prepare detailed travel briefs and ensure smooth execution of travel plans.
Communication & Liaison:
- Serve as a gatekeeper and point of contact between the CEO and internal/external stakeholders.
- Handle confidential information with the utmost discretion and professionalism.
Office of the CEO Initiatives & Special Projects
- Support the Chief of Staff and CEO with departmental budgeting and special projects and initiatives as needed.
- Drive execution, track milestones, and ensure timely delivery of high-visibility projects.
Job Requirements:
- Proven experience as an Executive Assistant or in a similar high-level administrative role.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite, Asana and virtual meeting platforms (e.g., Zoom, Teams).
- Experience managing board-level meetings and working with external vendors.
- Ability to work independently, exercise sound judgment, and maintain confidentiality.
- Familiarity with event planning and vendor management preferred.
- Strong knowledge of project management methodologies preferred.
Location Requirement:
This is a remote role not bound to any one region. Work is primarily performed remotely, however, when possible and necessary, teams meet in person to conduct the business of the organization and build team relationships.

Compensation | Benefits:
The estimated hiring compensation range for this role is $60,000-$75,000. Final offers will be based on the candidate's geographic location, consider career experience and may vary from this range due to these and other factors.
