Position Title:           Executive Assistant

Department:             Corporate

Overview:  

We are seeking a highly skilled and proactive Executive Assistant to provide dedicated support to several members of our leadership team.  This role requires exceptional organizational abilities, advanced technical expertise, and a strong capacity to manage multiple priorities in a fast-paced environment. The successful candidate will play a vital role in ensuring the effectiveness and efficiency of the executive team. 

Key Responsibilities:

Calendar Management  

  • Coordinate, prioritize, and maintain complex schedules across multiple executives.  
  • Manage meeting requests, schedule appointments, and optimize time management.  

Meeting Coordination  

  • Organize and prepare for key meetings, including internal leadership, client-facing, and cross-departmental sessions.  
  • Handle logistics, prepare agendas, and track action items.  

Report Preparation and Presentation Development  

  • Create polished, high-impact presentations using Microsoft PowerPoint.  
  • Prepare executive reports, summaries, and dashboards with data pulled from Microsoft Excel and Salesforce.  

Data Gathering and Insights  

  • Extract and analyze data from Salesforce,  
  • Compile and consolidate performance metrics across sales, marketing and account management team in Excel and measure against KPIs  

Administrative Support  

  • Handle correspondence, including emails with professionalism and discretion.  
  • Prepare and process expense reports, invoices, and other executive documents.  
  • Execute tasks promptly while maintaining a high degree of accuracy and confidentiality.  

Special Projects  

  • Manage short- and long-term projects as assigned by the executives.  

Collaborate with internal teams and external stakeholders to drive project success.  

Essential Skills: 

Experience  

  • Prior experience supporting C-suite executives or senior leadership teams.  
  • Familiarity with marketing, revenue, and finance operations environments.  
  • Bachelor’s degree or equivalent professional experience preferred

Technical Proficiency  

  • Expertise in Microsoft Excel (e.g., formulas, data visualization).  
  • Extensive experience with PowerPoint for creating executive-ready presentations.  
  • Proficiency in Salesforce, including generating reports and working with CRM tools.  

Organizational Skills  

  • Ability to manage multiple tasks and stakeholders efficiently while meeting deadlines.  
  • Strong attention to detail, ensuring accuracy in all deliverables.  

Communication and Professionalism  

  • Excellent verbal and written communication skills, with the ability to interact at all organizational levels.  
  • Discretion and integrity in handling confidential information.  

Flexibility in a Fast-Paced Environment  

  • Proven ability to adapt quickly to shifting priorities and business needs.  
  • Capable of remaining calm and effective under pressure.
