Job Description:

Executive Assistant, Lending and Banking Services, MMLIS Products and Services; Full-time, hybrid, New York, NY; Springfield, MA

The Opportunity

Be the Force Behind the Leaders. Own the Details. Drive the Pace. We're looking for an elite Executive Assistant who thrives in high-stakes environments and knows how to get things done. In this role, you'll be the right hand to two powerhouse leaders in MassMutual Wealth Management supporting the Head of Lending and Banking Services and the Head of MMLIS Products and Services and select members of their teams. You'll anticipate needs, run point on logistics, and keep the momentum strong across priorities, people, and projects. If you're a detail-obsessed, fast-thinking pro with exceptional judgment and polish, this is your seat at the table.

The Team

MassMutual Wealth Management is reshaping how clients build and protect their wealth. You'll partner with a team of top-tier professionals across Product, Financial Planning, Practice Management, Lending & Banking, Trust, Investments, and Operations. The pace is intense, the work is meaningful, and the impact is real. This role offers rare exposure across the entire Wealth Management leadership structure. You won't just support the business, you'll be embedded in it.

The Impact

You will own the executive workflow-calendar, travel, communications, meetings, onboarding, and high-level materials. You'll handle confidential matters with finesse, make fast and smart decisions, and bring structure to complexity. The leaders you support will rely on your intuition, judgment, and ability to keep everything moving without missing a beat.

Key Responsibilities include but not limited to:

Executive Support & Calendar Mastery

  • Command the calendar. Accept, decline, and prioritize with full context acting decisively and proactively on behalf of executives.

  • Eliminate conflicts before they arise. Maintain a pulse on business rhythms to drive alignment across teams and time zones.

  • Schedule meetings, offsites, and key events. Own logistics from start to finish - room bookings, tech checks, materials, catering, and follow-ups.

Travel & Expense Precision

  • Proactively book domestic and international travel. Make smart tradeoffs on flights, hotels, transportation and timing.

  • Prepare and manage timely T&E reports, flagging exceptions and ensuring swift approvals.

Meeting Execution & Follow-Through

  • Draft crisp agendas and drive meeting execution. Capture action items and own follow-ups.

  • Organize and compile presentations and materials for monthly Investment Product Committee meetings.

  • Format and polish slides, spreadsheets, memos, and high-priority communications that reflect executive standards.

Operational Backbone

  • Manage onboarding for new team members-devices, systems access, workspace setup.

  • Submit invoices, track department P-card activity, and manage ad hoc vendor/meeting expenses.

  • Identify equipment and facilities issues and get them fixed before they impact productivity by submitting service requests as needed (order supplies/company items for co-located and remote employees).

Communication & Leadership Readiness

  • Draft, edit, and finalize written communications with minimal input.

  • Respond to internal and external inquiries confidently and accurately.

  • Partner across departments to support enterprise initiatives and ensure follow-through.

Cross-Coverage & Agility

  • Provide backup support to other senior assistants as needed; no drop-offs, no delays.

  • Jump into projects and special initiatives with ownership and urgency.

  • Other business and team support as needed.

The Minimum Qualifications

  • High school Diploma or equivalent

  • 5+ years experience in an Executive Assistant or similar role

  • 2+ years experience working with Microsoft Office suite (Word, Excel, PowerPoint, etc.), Google Workspace, Zoom, and Slack.

  • Due to the nature of this position, as a part of our background check process, candidates must be able to pass a non-registered fingerprint background check to qualify as a fingerprinted person under FINRA

The Ideal Qualifications

  • Bachelor's Degree

  • Proficient working knowledge of both Ariba and Concur system applications

  • Experience working in the Financial Services Industry

  • Ability to leverage additional technology - Concur, Ariba, Workday, ServiceNow, xMatters, LinkSquares, and Archer;

  • Knowledge of Lean Management (Huddle Boards, Operational Metrics, etc.)

  • Demonstrated experience with calendar management for one or more leaders

  • Collaborative approach, performs routine administrative support successfully and demonstrates openness to provide assistance as urgent situations or ad-hoc needs arise

  • Ability to make discretionary decisions within reason

  • High level of attention to detail

  • High level of organizational skills

  • Relationship building skills

  • Focused one-on-one meetings with your manager

  • Networking opportunities including access to Asian, Hispanic/Latinx, African American, women, LGBTQ, Veteran and disability-focused Business Resource Groups

  • Access to learning content on Degreed and other informational platforms
