Job Description

With general supervision, the Meetings & Events Planner plays a critical role in managing and producing all major company meetings and events including national business meetings, national tradeshows, customer appreciation events, incentive travel and other meetings/events as needed. The Meetings & Events Planner is responsible for bringing the ideas of senior leaders into fruition and strategically developing programs to support key business initiatives and deliver high-quality events. This role leads all aspects of event design, production, budgeting, and execution to create impactful, high-profile events.

We are looking for a creative self starter, who is highly organized and an effective multitasker to join the team! Our ideal Events Planner will thrive in our dynamic, busy environment, and will require little to no supervision.
Responsibilities include, but are not limited to:

  • Utilize and maintain knowledge of Corporate goals and objectives in order to ensure the outcome of meetings meet them
  • Prepare budgets (preliminary, working, and final meeting budgets) with a proven track record in identifying opportunities and maximizing them
  • Hotel and/or venue sourcing and site selection. Assist in managing the RFP process and contract negotiations for all accounts to include hotels, conference centers, destination management companies, production companies, transportation companies, and other miscellaneous vendors
  • Manage event logistics including rooming lists, F&B, BEO’s, AV, communication, schedules, presenters, and transportation, etc.
  • Post-event duties, including: reporting and reconciliation, invoice reconciliation, charge backs and expense analysis, suggest recommendations for continuous improvement and increasing cost/process efficiencies
  • Effectively interface with a diverse group of internal and external personnel to include senior management, manufacturers, sales organization, key customers, trade associations, vendors, etc.
  • On-site execution, to include management of all the above focused on the Customer Experience
  • Performs other related duties as assigned

Compensation

$65-85k + 10% annual incentive opportunity

Required Qualifications

• Must live in the Denver, CO area. It is a hybrid position with the ability to work from home 1 day/week after onboarding
• High School Diploma or Equivalent
• 2 years experience in events/meetings planning, which includes F&B ordering, onsite trend tracking, reporting, A/V knowledge, buy out contracting
• Must have experience executing events from beginning to end, full process including post-meeting reconciliation and wrap up
• Must be proficient in Microsoft Office, especially Excel, PowerPoint, and Word
• Must be customer focused and detail oriented
• Must be able to execute within deadlines and budgets

Preferred Qualifications

• Bachelor’s Degree
• 4+ years as a Corporate Meeting & Event Planner
• Certified Meeting Professional (CMP), Certified Meeting Manager (CMM), or other non-US equivalent certification
• Cvent knowledge and proficiency
• Video Editing Experience
• Graphic Design Experience and proficient in Adobe Creative Suite (Photoshop, Illustrator, InDesign)
