Title: Event Coordinator - 10 Month Contract

Location: Pyrmont Australia

Job Description:

Are you ready to turn well-planned ideas into unforgettable attendee experiences while growing your career across live, hybrid, and virtual events? We are hiring an Event Coordinator on a 10 month contract.

Based in Sydney as our Event Coordinator, you'll be the operational engine behind seamless programs - owning registration and ticketing, clear delegate communications, and assisting with on‑site execution. You'll coordinate speaker travel and logistics, fulfill sponsor agreements, manage budgets and invoices, and source/contract venues, vendors, and suppliers.

About the Role

In this opportunity as an Event Coordinator, you will:

  • Oversee registration systems, ticketing and delegate communication

  • Liaise with event speakers regarding travel, presentations and event logistics

  • Liaise with event sponsors regarding their partner agreements and onsite deliverables

  • Manage event budgets, track expenses and reconcile invoices

  • Source, negotiate, and contract venues, vendors and event suppliers

  • Attend various events onsite to assist with setup, registration and event execution

  • Collect attendee feedback and assist to delivery the post-event reports

About You

You're a fit for the role of Event Coordinator if you have the following required qualifications:

  • 1-2 years of hands-on event planning, coordination, or hospitality experience

  • Proven project management and time-management skills across multiple concurrent events

  • Strong written and verbal communication, client service, and stakeholder management abilities

  • Proficiency with event tech: registration/ticketing platforms, CRM, project tools, and basic MS Office

  • Working knowledge of AV basics, floor plans, and on-site logistics

  • Vendor sourcing, negotiation, and contract administration experience

  • Budgeting skills, including cost estimation, tracking, and basic financial reconciliation

Additional preferred qualifications include:

  • Bachelor's degree in event management, hospitality, marketing, or related field (or equivalent experience)

  • Experience delivering hybrid/virtual events

  • Skill with design/layout tools (Canva, Adobe InDesign/Illustrator) for signage and collateral
