About the Role:
The Data Entry Specialist provides essential data entry, CRM, and administrative support to the Development team. This role is responsible for maintaining the accuracy, integrity, and organization of donor and institutional funding data across multiple systems, including Bloomerang, SharePoint, Asana, and related tracking tools. The Data Entry Specialist plays a key role in supporting fundraising operations, database hygiene, and institutional giving record-keeping, enabling the Development team to operate efficiently, accurately, and strategically.
Key Responsibilities
Data Entry and CRM Support

Manage returned mail processes, including researching, verifying, and updating donor addresses.

Identify and correct inaccurate, incomplete, or outdated donor and contact records in Bloomerang.

Support ongoing database hygiene efforts, including duplicate record review, data clean-up, and standardization.

Ensure donor and prospect records are accurate, complete, and consistently maintained across all systems.
Institutional Giving Data Support

Review historical foundation and corporate grant proposals, reports, budgets, and award documentation to extract key data such as grant purpose, award amounts, reporting deadlines, and deliverables.

Enter and maintain institutional funding data in centralized tracking tools and spreadsheets.

Cross-reference institutional records across SharePoint, Asana, and Bloomerang to identify and resolve missing, inconsistent, incomplete, or duplicate information.

Update funder contact details and grant records to support accurate reporting, stewardship, and compliance.
General Development and Administrative Support

Provide general administrative and operational support to the Development team as needed.

Assist with organizing digital files, documentation, and shared resources to support efficient team workflows.

Contribute to maintaining organized, accurate, and effective development operations.

Perform other related duties as assigned.
Work Schedule:
This is a temporary (90 days) full-time hybrid position. Monday - Friday 9am - 5pm.

Qualifications

High school diploma or equivalent

Coursework or training in data entry, nonprofit administration, or related fields preferred.

1+ year of experience in data entry, database support, or administrative roles, preferably in a nonprofit or fundraising environment
- Comfort working with CRM systems; experience with Bloomerang or similar fundraising databases preferred.

Proficiency in basic administrative software including Microsoft Excel, Word, Outlook, Teams, and Adobe Acrobat.

Ability to create and maintain data tracking systems and monitor progress towards deliverables.

Must live within the Tri-State Area
