About the Role

Title: Copyright Assistant, Penguin Random House (Hybrid)

Location: NY-New York

Job Description:

We have an exciting opportunity at Penguin Random House for a Copyright Assistant. The Copyright Assistant reports to the Director, Copyright. They will work closely with our Editorial, Contracts, Production, and Legal teams to ensure that all types of copyright concerns for our titles are resolved quickly and correctly. This will be a hybrid position with at least one day in our New York City office required, possibly more days during initial training. 

The Copyright Assistant will learn how to evaluate the usage of third-party material in our works using the Four Factors of Fair Use Doctrine from the United States Copyright Office as a guide.  The Copyright Assistant will also learn to read and interpret author contracts and permission agreements, approve copyright pages and register our titles for copyright with the United States Copyright Office.  The Assistant will be assigned a specific division to handle which will allow them to create deep relationships with their colleagues. This is a high-volume position which will require the Assistant to be adaptable to changing their focus as situations arise. 

Specific responsibilities include: 

  • Approve copyright pages for titles that are going into production and adhere to due dates 
  • Evaluate the usage of third-party material in our books and determine if permission is necessary 
  • Assist the author and/or editorial teams in obtaining such permissions  
  • Research rights holders for permission requests 
  • Register our books for copyright with the United States Copyright Office 
  • Keep detailed records  
  • Liaising with various internal departments as well as, on occasion, with authors and agents 
  • Communicating with the US Copyright Office 
  • Provide general administrative support to the department as needed

  • Ability to reprioritize in the face of urgent situations 
  • Feels comfortable asking questions when needed 
  • Excellent verbal and written communication skills 
  • Proven ability to work independently as well as part of a larger team 
  • Proficiency with Microsoft Office Suite 
  • Ability to adapt and learn new systems quickly 
  • A basic grasp of US copyright law, public domain, fair use, and intellectual property is a plus 

The PRH office is located in New York City. This is a hybrid position with in-office responsibilities approximately 1 day per week. We will consider applicants who currently live within a commutable distance to the NYC office at 1745 Broadway.  

The salary for this position is $51,000. All positions are currently eligible for annual profit award or bonus, subject to Company results.
