We are seeking a detail-oriented and organized Claims Administrative Assistant to support our team of Transportation Claim Adjusters. This role plays a key part in ensuring the efficiency of claims processing by handling administrative tasks, maintaining accurate records, and facilitating communication between claimants, adjusters, and other departments.
This is a hybrid position, allowing for 1–2 remote workdays per week after the training period. Please note that the position will be 100% on-site during training.
Key Responsibilities:
- Support Claims Adjusters in the intake, documentation, and processing of transportation-related incidents (e.g., bus accidents, student injuries, property damage).
- Collect, organize, and manage relevant documentation, including driver and police reports, student rosters, medical records, driver logs, and photographs.
- Receive and route calls, emails, and correspondence; professionally respond to internal and external inquiries (e.g., law firms, insurance companies, parents, medical offices).
- Track and document compliance with transportation safety and reporting regulations.
- Maintain accurate and up-to-date electronic claim files in the claims management system.
- Prepare and send claim-related communications such as letters, reports, and summaries.
- Handle confidential information with discretion and professionalism.
- Provide general administrative support and assist with special projects as assigned.
Qualifications:
- High school diploma or equivalent (Associate degree or higher preferred).
- 3+ years of administrative experience, preferably in insurance, logistics, or claims support.
- Familiarity with legal and transportation terminology/documents is a plus.
- Strong organizational skills with high attention to detail and accuracy.
- Proficient in Microsoft Office (Outlook, Word, Excel)
- Experience with claims management software (a plus, but not required).
- Excellent verbal and written communication skills.
- Ability to multitask, prioritize, and work efficiently in a fast-paced environment.
