Job Description

Our Client, a Healthcare company, is looking for a Calgary Office Administrator for their Calgary, AB / Hybrid location.

Responsibilities:

  • Manage day-to-day office operations, ensuring a clean, organized, and efficient workspace.
  • Overseeing coordination of routine maintenance and repairs of building systems (HVAC, plumbing, electrical).
  • Managing coordination of downsize and renovations (May-Sept 2025).
  • Ensure the office is compliant with safety regulations, coordinating with EHS and security.
  • Maintain office supplies and equipment, anticipating needs and placing orders as required.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Manage, schedule and coordinate vendor relationships, including working with strategic sourcing for contract negotiations, accounts payable negotiating contracts and ensuring timely payment, or other departments for clarification and solutions.
  • Maintain office filing systems and records, both physical and electronic.
  • Serve as a point of contact for employees, clients, and visitors.
  • Managing access control and visitor management.
  • Communicating office-wide notifications.
  • Coordinate with IT support for office technology.
  • Provide administrative support to the management team.
  • Prepare reports, presentations, and other documents.
  • Assist with onboarding and offboarding processes.
  • Assist with event planning.
