Job Description
Our client, a global asset management firm has multiple team administrative openings in their NYC office. These roles are to support multiple executives. The Assistant will collaborate with other Administrative Assistants in the office but primarily support 5+ executives at different levels.
This is an amazing opportunity to work at one of the most prestigious firms in NYC and in the country. The position is in office 4 days/week with Fridays from home.
- Salary $100-110k + OT + Bonus
Responsibilities:
- Provide administrative support and assistance to multiple executives
- Manage calendar and conference rooms; make domestic and international travel arrangements for executives including flights, hotel, car services etc.
- Screen incoming calls and greet guests in a professional and courteous manner
- Arrange complex travel plans and compose detailed itineraries, obtain necessary travel documents and visa coordination
- Schedule and organize meetings, conferences and off-sites including all related logistics
- Perform other related general administrative tasks for executives as assigned and required
- Allocate and process expenses for executed using the Concur expense management system
- Additional ad hoc projects as needed
Required Qualifications:
- Minimum 3 years of administrative experience, supporting 3+ executives
- Finance experience preferred
- Bachelor’s degree required.
- Extremely polished, forward-facing, and professional.
- Excellent interpersonal and communication skills (both verbal and written).
- Comfortable working with all levels of an organization.
- Ability to thrive in a fast-paced and rigorous work environment; demonstrated ability to prioritize competing demands and meet deadlines
- Must demonstrate a proactive, positive attitude towards given tasks, plan ahead for potential issues and take appropriate action
- Team-oriented and collaborative attitude is a must
- Proficient in Microsoft Outlook and proficient in Excel, Word, and PowerPoint
