Your missions:
Reporting to the Regional Solar Manager, you will provide support to the development teams (solar, wind, market cell or storage).
Administrative management for the agency:
- Visitor reception and management
- Receiving, registering and distributing mail and faxes
- General services of the agency, in coordination with the General Services Manager at headquarters*
* The provision of "general services" is managed differently in Paris, Avignon and other agencies. This task will therefore be adapted on a case-by-case basis.
General support for the Development Project teams (solar, wind, market cell or storage):
- Travel arrangements, trips
- Organization (mailing) of meetings and site visits
- General secretariat, mail, scanning, reprographics, fax, archiving
- Coordination of supply needs for the building and after-sales service (photocopier), loaner equipment
- Any other administrative support activities related to the project management team's work
Assistance with Solar and Wind Power Projects or Storage or Market Cell:
- General administrative support, mail, scanning, photocopying, fax
- Monitoring of administrative procedures related to development
- Preparing applications: typing and sending letters
- Obtaining maps from the mapping service for easement requests;
- Processing of owner/operator/plot data
- Obtaining reference documents: land registry, property records, etc.
- Management of requests for the lifting of easements
- Monitoring, updating and managing databases (administrative authorizations and land registry database, etc.)
- Creation and management of operational files
- Drafting and sending documents related to land acquisition to notaries, landowners, operators, and local elected officials
- Document management of the land and administrative data room (certificates of no appeal, etc.)
- Management of display observations:
- Identification of the municipalities concerned
- Identification of competent bailiffs, consultation and ordering of official reports
- Organization and verification of displays in town halls and on sites, prior to inspection
- Obtaining the findings and making them available to the project teams
- Assistance with the preparation and compilation of files:
- Monitoring and reproduction of the parts required for the operating permit application (quote and follow-up)
- ICPE files (quotes and monitoring of file reproduction)
- Internal workflow monitoring
- Monitoring validation loops
- Other administrative requests
- Assistance with monthly activity reporting for development teams
- Creation and updating of mailing lists necessary for communication with stakeholders
- Monitoring of external mailings (sending)
- Management of activity tracking spreadsheets and sheets
- Archiving and filing of records
- Proofreading of documents
- Creation and provisioning of data rooms
- Formatting application files for calls for tenders
HSE:
Contributing to the company's Health, Safety and Environment culture through:
- Work is carried out in compliance with the prevention measures implemented within the company and outlined in particular in the Single Document, the Health, Safety and Environment Policies, procedures, operating methods and guides
- Reporting of any event or situation that could pose a danger to people, including colleagues and service providers, and/or the environment
- Participation in training and awareness events dealing with these topics
Quality :
- Compliance with and implementation of company policy and quality procedures
- Participation in updating the quality management system documents
- Reporting of non-conformities and participation in the implementation of corrective actions
- Participation in continuous improvement actions and projects and knowledge sharing
Profile
Your profile:
- You hold a Bac+2 in the fields of management or administration and have a proven track record in administrative management
- You use Microsoft Office daily in your work and are comfortable using computer tools in general.
- You are also recognized for your writing skills in French.
- You have a basic knowledge of the English language.
- Autonomous and reliable, you know how to manage your priorities thanks to your organizational skills and your great rigor.
- You also possess excellent interpersonal, teamwork and service skills which allow you to work cooperatively and across departments internally and with service providers.
